Patient Care Coordinator Job Description:


We are looking for a passionate, highly-motivated, and energetic patient care coordinator that emphasizes client satisfaction, experience, and retention. The patient care coordinator will be a crucial member of the team and will be responsible for: delighting guests with exceptional customer service and care, answering phone calls from potential and existing patients, scheduling appointments, checking patients in and out with accuracy and enthusiasm, ensuring efficient patient flow throughout the clinic, and educating guests about products, services, and our membership program. This position is critical for achieving patient satisfaction and retention, word of mouth referrals, and will have a significant impact on the success of the practice.


Primary Responsibilities and Requirements:


  • Previous experience in customer service or medical office administration preferred
  • Strong communication and organizational skills
  • Ability to work in a fast-paced, high-volume environment
  • Knowledge of medical spa services, treatments, and products preferred
  • Existing knowledge of, or willingness to learn to use Zenoti EMR platform
  • Greet patients in a professional and friendly manner, ensuring a memorable and positive patient experience from arrival to departure
  • Answer phones and schedule appointments with friendliness, accuracy and enthusiasm
  • Act as a liaison between patients and medical staff, addressing patient needs and concerns and communicating them to the appropriate medical staff member
  • Master knowledge of service and retail product offering in order to be a trusted resource for patients
  • Assist with social media marketing, events, and lead generation activities
  • Promote services and products to guests in order to accomplish team sales goals
  • Promote membership conversion by educating clients to benefits of ImageLab membership and consistently reinforce membership benefits to current members
  • Maintain a clean and organized reception area, ensuring that all necessary supplies and equipment are available and properly stocked
