Office Coordinator

We are looking for an Office Coordinator, with the primary responsibilities being
receptionist/client services to join our team This individual will work directly with
our management team, performing a variety of administrative support duties and
will be responsible for coordinating new client engagement. This individual will also
be our primary client services representative. The ideal candidate for this position is
organized, professional, responsible, has a POSITIVE ATTITUDE, capable of working
with limited supervision and committed to helping us meet all our clients’ needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Reception
• Greet all visitors with a warm and welcoming smile/attitude.
• Answer telephone promptly and field calls accordingly; respond to or transfer
voice mails.
• Receive and sort mail and deliveries; prepare mail, FedEx, and courier
packages for pick up.
• Accept and sign for packages and distribute mail.
• Arrange for temporary IDs (keycards) for visiting guests.
• Perform administrative duties as needed and directed by supervisor and
members of management.
• Welcome new employees and freelancers and guide them.
• Produce and deliver tasks on time; take initiative and ownership when
necessary.
• Contribute to team effort by accomplishing related results as needed.
• Receive deliveries
Client Services
• Coordinate for breakfast/lunch/dinner sessions and associated catering.
• Maintain a pleasant appearance of the reception area, cafe and edit bays.
• Perform duties such as loading /unloading dishwasher, placing all grocery
orders, stocking fridge, etc.
• Processing receipts.
• Be a part of planning and executing events and parties for both clients and
employees.
ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES:
• Promptness - Consistent arrival (at least 10 minutes prior to starting time) and
regular attendance.
• Communication - Administrative expertise for proficiently delivering verbal
and written communication associated with reading, writing, grammar, math,
and clerical skills.
• Presentation - Professional personal appearance with friendly, helpful, peopleoriented
demeanor with interest to act as a resource for others.
• Excellent Customer Service - Ability to demonstrate effective listening skills to
understand client needs, both external and internal clients, to thereby exceed
service and quality expectations.
• Teamwork - Dedicated to team and organizational goals through a desire to
participate with and assist other members of the group. This includes
interpersonal skills that require empathy, listening, positive attitude, courtesy,
and tact.
• Fortitude - A high level of mental stamina is required at the front desk for
managing flow of phone calls, visitors, and administrative duties.
• Performance - Must be able to perform all duties with minimal supervision to
include development in new areas. Ability to lift to 20 pounds is required.
• Valid driver’s license required.
• Willing to work early mornings, late nights and weekends, when needed.
Salary range: $24 - $25 hourly
Hours – 9am – 6pm, Monday – Friday
