Description of Duties:

Title: Wholesale Operations Manager

Classification: Exempt

Salary Range*: $80K-$95K

Location: Carson, CA

Schedule: Hybrid, Monday through Friday 9:00AM-6:00PM


Essential Duties and Responsibilities:

  • Responsible for oversight and management of wholesale operations.
  • System management for Wholesale Accounts, account setup and order entry, RMA’s, and invoices.
  • Process all EDI orders in True Commerce and cross reference with NetSuite.
  • Responsible for maintaining and generating thorough sales and inventory reports.
  • Supervise the Warehouse Wholesale Coordinator and Wholesale Clerk(s) to manage inventory.
  • Oversight of internal invoices, orders, and inventory maintenance via NetSuite.
  • Review orders in the beginning of the season before EDI application to ensure all data is correct.
  • Optimize and streamline our wholesale operations for maximum efficiency, flexibility, and scalability.
  • Oversee account set-up, work with Operations team on EDI integration(s), order validation, inventory, and fulfillment for our domestic and international wholesale partners.
  • Build out the process of order validation to account for all potential discrepancies across inventory, pricing, and timelines.
  • Actively participate in the hiring process of Wholesale employees, approving time off requests and managing timesheets.
  • Perform quarterly reviews for Direct Reports; has the authority to make recommendations regarding the advancement or promotion of Wholesale Employees.
  • Manage open order reports with eta’s orders and meeting ship windows effectively.
  • Work closely with cross functional departments to create effective databases to manage and organize KPIs and reports to be presented to leadership.
  • Work closely with the accounting team to maintain up-to-date account information.
  • Communicate order status to cross functional teams, relates to timing of order status including late or any partial deliveries.
  • Manage new account onboarding to ensure all customer requirements are understood by and met by cross functional teams. (i.e., Routing Guides)
  • Manage operational elements/shipping of custom displays, hangers, furniture and build outs for special wholesale events and pop ups.
  • Responsible for managing the wholesale calendar start to finish ensuring that orders flow efficiently from order receipt until handoff of goods.
  • Play a pivotal role in building and managing relationships with operational/customer service and finance contacts at our wholesale partners.
  • Responsible for big picture oversight and reporting related to monthly revenue targets specifically related to shipping targets, in addition to end of month fulfillment summary.
  • Responsible for partnering cross functionally with Wholesale Consultant and Associate Account executive on account priorities; and partnering with the warehouse on corresponding allocation and fulfillment.
  • Responsible for NetSuite Order management: Order Entry, Order Updates/Style/Color updates.
  • Responsible for partnering with Production and Logistics teams on open order summary reporting with ETA updates, shipping plans and extension and/or early ship updates to Sales.
  • Coordination and cross-functional support to factor in payment approvals, invoicing, payment requests, invoice inquiries and reconciliations.
  • Responsible for payment requests, credit card processing, and invoicing for customers not managed through factor.
  • Responsible for EDI entries, processing, and communication through EDI system and NetSuite. Ensure accuracy of shipments and documentation for outgoing domestic and international shipments, including all EDI shipments.
  • Partner with Associate Account Executive to audit orders following system entry.
  • Management of non-direct wholesale platforms (ie: VEX for Net-a-Porter) will include shipping documentation and prep, related shipping approvals and management of trackers /system updates with POD, tracing info etc.
  • Oversight and management of payment requests, credit card processing and invoicing for customers not managed through factors.
  • Oversight and management of system management.
  • Work cross-functionally to problem solve, address technical issues, streamlining internal resources, and processes.
  • Partner with the Finance and Production team to complete various vendor forms related to product info (Vendor set-up, sustainability requirements, product testing and attributes).
  • Other tasks are assigned as needed to support business needs.
  • Perform other tasks as assigned.



Qualifications and Skills:

  • 4-5 years Warehouse and Wholesale customer service experience.
  • 2-3 years Retail experience is a plus.
  • Must have ERP experience.
  • Attention to detail and knowledge of our product.
  • Able to prioritize and manage multiple tasks efficiently.
  • Strong team-player, hardworking and self-motivated.
  • Strong attention to detail, organizational and time management skills.
  • Ability to work independently and in a team environment.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Excellent English verbal and written communication skills.
  • Ability to thrive in a challenging, fast paced, and dynamic team environment.
  • Exceptional time management and follow up skills.
  • Advanced experience with Excel, Google Sheets, understanding of pivot tables, VLOOKUP, and other key functions.
  • Strong analytical skills.

Physical Requirements:

  • Must be able to perform essential duties satisfactorily with reasonable accommodation.
