Title: Administrative Assistant Department: Human Resources Reports To: Director Salary: $22.00 to $26.37 per hour (approximately $40,040 to $48,000 per year) Status: Full Time; Regular; Non-Exempt Location: Long Island City, NY Days/Hours: Monday - Friday, 9am to 5pm Position Summary: The Administrative Assistant will provide administrative support as a member of the Human Resources department. The Administrative Assistant will also respond to employee inquiries to ensure a high level of customer service. They will have excellent communication and organizational skills and a good eye for detail and judgment for when to elevate issues. Essential Duties and Responsibilities: Complete and follow up on all check requests for vendor invoices (advertisements, background checks, benefits, credit card, training and others); Support the benefits orientation for new hire orientation and arrangements of employee wellness events; Follow up with new employees on benefits enrollment; Provide customer service to employees by providing first line of support to employees with issues such as HRIS password resets and questions, ID cards, etc.; Support the scheduling of meetings; Administer anniversary gift cards for employees, including tracking anniversaries, ordering cards, distributing cards and reconciling with Finance; Assist in maintaining employee personnel files and accurate records in our HRIS system; Assist in the preparation of company events; Assist in audit requests and run reports as requested; Perform other duties as assigned. Qualifications: Degree in Human Resources or a related field preferred At least 1 year of Human Resources work experience preferred Proficient in Microsoft Excel, Word, and Outlook and working knowledge of PowerPoint Excellent verbal and written communication skills Ability to prioritize with strong organizational and time management skills Good judgment, ability to escalate issues when needed and ability to maintain confidentiality Detail oriented, self-motivated and resourceful We seek talented, dedicated individuals from all walks of life who possess a strong commitment to this mission.
