Description:
This seasonal position will provide support to the VP Global Publicity C Awards and Sr. Publicist Awards on the Universal Pictures Awards Team. Responsibilities include administrative and logistical support related to events such as FYC screenings receptions/events and ceremonies. This person will need to be organized extremely efficient and able to anticipate the needs of a fastpaced office. In addition to being a proactive team member they will need to be an excellent communicator who is techsavvy. In addition to weekday office hours they will also need to be available to help work events some nights and weekends.
Responsibilities:
- Provide logistical support including managing communication with vendors regarding payments helping organize finance documents to support the awards office with their processing of invoices and helping ensure that vendors are paid on time.
- Assisting with creating presentation decks updating awards documents and circulating to the awards team
- Setting awards meetings collecting agenda items and distributing pertinent documents for each meeting in a timely manner.
- Providing logistical support including creating print requests trafficking DCPs managing RSVPs ticketing seating and checkin for events such as the FYC screenings awards tastemakers.
- Support the execution of ad hoc duties and special projects as assigned.
Position Requirements:
- Bachelors degree preferred in Communications.
- Desire for administrative experience preferably in the Awards and Publicity film industry
- The ability to work discreetly and professionally with high level executives VIPs Academy members and the public.
- Highly professional verbal and written communication skills with special attention to detail and accuracy.
- Ability to work cooperatively with voting members colleagues in the publicity team and other departments and outside companies.
- Proficiency in Microsoft Office Suite applications (Outlook Word Excel PowerPoint and SharePoint).
- Ability to work and meet deadlines under pressure and change tasks as needed.
- Efficient means to travel to offsite events in LA and surrounding areas.
- Availability to work some nights and weekends as needed.
- Commitment to this position from August 2024 through April 2025
