Enterprise ADC System Coordinator

Job Duties
The Department of Behavioral Health and Developmental Services (DBHDS) is seeking a qualified and experienced professional to serve as the Enterprise Automated Dispensing Cabinet (ADC) System Coordinator. This position plays a critical role in the function of ensuring the safe and efficient distribution of medications within the healthcare facility and will be responsible for configuring and customizing the ADC system to align with the specific needs and workflows of DBHDS facilities and Enterprise Applications, including formulary maintenance, updates to clinical data changes, and additions to nursing units, rooms, or beds; and oversee the management and integrity of data stored within the Pyxis system. This position will also serve as the primary contact with ADC system vendors, managing vendor relationships, and ensuring timely resolution of technical issues; systems coordinator resource that understands departmental processes; and as a subject matter expert for automated dispensing cabinets.
Additional responsibilities include:
• Supporting end-users of medication management systems in Production Operations.
• Troubleshooting and resolving production operation issues escalated/transferred to DBHDS ADC support, including Pyxis display and barcode recognition issues, fingerprint scanning and hardware issues such as failed cubie/pocket.
• Providing end-users with knowledge and resources needed to maximize their utilization of the ADC system, to include monitoring and addressing all user requests in a timely manner.
• Collaborating with cross-functional teams, such as other analysts, end-users, and stakeholders to comprehend ADC business requirements as well as the Enterprise Integration team, to integrate with other technologies and systems seamlessly and troubleshoot issue that arise.
• Creating and maintaining application documentation and diagrams for configuration, procedures, and troubleshooting guides for reference and training purposes.
• Reviewing vendor bulletins regarding ADC updates and upgrades, and documenting issue resolution processes.
• Monitoring ADC system usage reports.
• Developing test plans and data migration documents for implementation and upgrades of ADC systems.
• Advising department staff on applications development and best practices.
• Regularly communicating with end-users, Enterprise Application teams, Project Management staff and departmental management.
• Reviewing and/or determining application proposals and requirements.
• Translating business requirements into design solutions that comply with the current standards and are in line with DBHDS strategic initiatives and goals.
• Leading efforts for optimizing assigned applications utilizing vendor communications.
• Supporting design and integration components of ADC and releases via UAT testing and PROD validation efforts.
• Adhering to and participating in change management processes and procedures for PROD environment changes.
• Performing system configurations when needed.
Minimum Qualifications
• Knowledge of Electronic Health Record (EHR) systems.
• Familiarity with multi-system integration and common issues that can arise when integrating enterprise technologies.
• Knowledge and understanding of healthcare delivery processes.
• Knowledge of best and change management practices.
• Experience supporting releases via UAT testing and PROD validation efforts.
• Experience in the use of ticketing systems and troubleshooting system related issues.
• Strong attention to detail and time-management skills.
• Detail-oriented and analytical mindset, with a focus on accuracy and problem-solving.
• Strong technical aptitude and proficiency in computer systems and software applications.
• Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
• Ability to build a rapport and establish relationships with peers and end-users.
Additional Considerations
• Licensed Certified Pharmacy Technician experienced in healthcare informatics, information technology, or a related field.
• Pharmacy Technician Certification Board (PTCB) Certification
• Proficiency in ADC System Administration in a hospital setting, including technical expertise and troubleshooting.
• Previous experience working with Pyxis automated dispensing cabinets or similar medication management systems.
• Knowledge of healthcare regulations and standards related to medication management and patient safety.
• Experience with application configuration, resolving break/fix issues, solutioning, as well as aligning formularies in the EHR and patient demographics to support the integration between systems.
• Thorough knowledge of Health Information Technology (HIT) environment and pharmacy functions in HIT.
