General Overview

Case Review Coordinators work within the Case Review Unit, reporting to the Director of Case Review. The Case Review Coordinators are responsible for reviewing video footage of Cook County Sheriff’s Office (“CCSO”) operations and general administrative support of the Unit, including management of special projects, tracking of requests, statutory reporting of incidents and other tasks as assigned by the directors. They will work with all Cook County Sheriff’s Office departments as well as all CCSO facilities.

Key Responsibilities and Duties

Work with Directors and Investigators to ensure appropriate resources are assigned for incidents, and that all reports move through the Case Review process in a timely manner. Is charged with tracking of incident assignments and review of completed assignments to ensure all videos and documents are properly preserved per protocol.

Review video footage along with Live Monitoring CCSO operations.

Proactively monitor video management systems for outage and deficiencies.

Provide administrative and office management support to the Executive Director and Director of Case Review as needed, including but not limited to; professional report production, correspondence and letters, records management, schedule, and payroll duties, and assigned research as requested.

Prepare, edit, and review letters and memoranda for final print, distribution and filing ensuring conformance with agency correspondence. Create, develop, and maintain spreadsheets as needed for tracking purposes.

Set and meet goals for his or herself and is accountable for project deadlines and successful completion of projects.

Prepare detailed notes, reports, and presentations on a weekly or bi-weekly basis as assigned by the Directors.

Responsible for managing the reporting of Extraordinary or Unusual Occurrences to IDOC and other statutory reporting as required. Will review all reporting forms and compare to original incident reports to ensure forms are completed as necessary and will track the necessary signatures and other form updates, and ensure completed reports are sent in a timely manner.

Provides support to Case Review Investigators, including assistance in managing follow ups, video download, case tracking, and other tasks.

Knowledge, Skills, and Abilities

Good communication skills: ability to exercise diplomacy, gather information from others and make inquiries; ability to convert information and explain or describe policy and procedure to others in person or by telephone. Ability to receive, understand and respond to routine inquiries and information.

Adept at navigating computer, video, and other technical systems. Ability to work in front of a computer screen for long periods of time without issue.

Ability to coordinate several tasks at one time and perform well under pressure.

Ability to exercise good judgment and make sound decisions to carry out programs affecting one’s own work and the work of others in a changing work environment and in determining when problems require assistance of supervisory personnel.

Skill in the application of complex instructions, written and verbal; ability to accurately relate such instructions in full or part to other administrative staff.

Always maintain a professional appearance and attitude, in accordance with Cook County Sheriff’s Office and departmental guidelines.

Possess the ability to always remain composed for the purpose of gathering and disseminating information accurately and efficiently.

Ability to work cooperatively with investigative, supervisory, technical, and professional personnel in the coordination or delivery of services to the unit and throughout the CCSO.

Ability to acquire a thorough knowledge of specialized administrative procedures and regulations particular to the Case Review Unit.

Good attention to detail, ability to proof, verify and edit complex data, transcribe, and cross reference data from computer, video, and documents. Ability to follow-up in a thorough and timely manner.

Capable of working any shift assigned, including days, afternoons, or midnights, capable of working Holidays and weekends.

Competency in performing highly specialized administrative work independently including the composition of letters, memoranda, and reports.

Ability to use initiative and independent judgment within established procedural guidelines; assess and prioritize multiple tasks, projects and demands; establish and maintain cooperative working environments.

Capable of performing duties with minimal supervision and managing projects from beginning to end.

Minimum Qualifications

Possession of a high school diploma or General Education Development (G.E.D.) test certificate. 

One (1) or more years of clerical work experience obtained within the last five (5) years.

Intermediate proficiency in Microsoft Office suite. Skill Assessment will be required.

High degree of professionalism, along with a commitment to providing a high level of service and working in a team environment.

Excellent interpersonal, attention to detail, clear & effective written, verbal communication skills required

Strong analytical and organizational skills.

Proficiency with basic data organization and analysis. 

Experience establishing and maintaining relationships with individuals at all levels of the organization, including the executive level.

Preferred Qualifications

At least three (3) years of project management experience within the Public Sector (educational, state, or local government and/or federal government).

Possession of an associate degree from an accredited college or university in Public Policy, Criminal Justice, Computer Science, Information Systems, or other related fields.
