Senior Finance Generalist or Finance Generalist

The College and Graduate School of Arts & Sciences (A&S) seeks applicants for a Senior Finance Generalist or Finance Generalist. These positions will be members of the Dean’s Office budget and finance team and report to the Sr. Director of Financial Planning and Analysis. This position will work closely with members of the budget and finance team, so the person in this position must be comfortable in a role that supports two areas.

Senior Finance Generalists perform a hybrid of complex finance work, encompassing a range of specialties, such as accounting, budget, payroll, purchasing, and financial analysis. Senior Finance Generalists assume more responsibilities that require deep analysis. They are distinguished by years of experience, depth of institutional knowledge, and sophistication of expertise. Work is conducted independently, and Senior Finance Generalists are responsible for training and mentoring emerging finance professionals.

Senior Finance Generalist responsibilities include the following:
Produce, reconcile, and distribute the financial reports for a wide range of funding sources within the Dean’s Office and across A&S. Examine cash balances periodically, invest funds, or spend appropriately to ensure the optimization of cash management. Assist with reviewing and cataloging funding commitments. Monitor chart of account use (FDM) to ensure that departments are maintaining consistency and budget alignment in their use of the FDM. Either manage independently or assist with, as appropriate, projects that might include Equipment Trust Fund (ETF) process, asset management, stewardship of Dean’s Office endowments and gifts, reinvestments, and year-end closing. Produce financial and/or data analysis as needed as requested by departments and the dean’s office. Be of assistance as needed with account certification, expense reports, and purchasing, either directly or as a back-up. Troubleshoot various issues that might arise and need quick analysis and turnaround. In addition to the above job responsibilities, other duties may be assigned.

The Finance Generalist has responsibilities that are supportive of the Senior Finance Generalist and involve working closely with the larger budget and finance team. Finance Generalist responsibilities include the following:
The Finance Generalist will manage the budget and finance team email. This includes monitoring the email traffic on a day-to-day basis and escalating issues as appropriate. The Finance Generalist’s responsibilities will include the following, to be assigned on an as needed basis, by the supervisor:Assist with account preparation and certification as needed.Process payroll accounting adjustments and journal entries.Oversee and/or assist with the preparation of purchase orders and payment vouchers, ensuring that bills are paid promptly and in compliance with University requirements and resolve any discrepancies with vendors as needed.Monitor letters sent to the team email so that information flows appropriately to the Senior Finance Generalist in charge of commitment tracking in CTS and to the budget team so that the budget can be updated.Monitor CTS updates so that the budget team is notified of updates to make to the budget.Review the BP in Process Monitoring Report each day and notify team members if there are outstanding items where they are the only person listed or where items have lingered for more than a to be determined amount of time. The Finance Generalists in the Dean’s Office are a team and will be expected to provide on-going support and back-up for each other so that there is continuous support for the School during team vacancies and PTO. Attend University and School meetings, such as the Department Manager meetings and the Fiscal Administrators meetings and be a positive supporter of the information shared within these meetings. Work is to be done accurately as well as in a timely manner. In addition to these duties, other duties may be assigned.

Minimum Qualifications:
Finance Generalist and Senior Finance Generalist: Bachelor's degree required Finance Generalist: 2 years of experience in a related field required. Equivalent experience accepted in lieu of degree. Senior Finance Generalist: 5 years of experience in a related field required. Equivalent experience accepted in lieu of degree.

Preferred Qualifications:
Problem-solving skills and the ability to recognize when a problem should be escalated to within the team. Ability to work independently and as part of a team and to understand that both abilities are important with emphasis on being a team player. Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience with preference given to applicants with at least Intermediate-level skills in Excel.
