Key/Work Order Coordinator

The state supported living centers serve people with intellectual and developmental disabilities who are medically fragile or who have behavioral problems. The centers provide campus-based direct services and supports at 13 centers located throughout the state.

The Key/Work Order Coordinator position requires a large amount of data entry into many different programs. The Key Control Coordinator is responsible for updating the data entry with key serial numbers into the Best Key automated system, maintains secure records, works with custodians, and responsible for annual key inventories and spot check key custodians. This position is also the work order coordinator and is responsible for creating, processing, completing and filing work orders in the CAFM10 work order system. The Key/Work Order Coordinator completes the Procurement Credit Card Transaction Log with accuracy and delivers to accounting by deadline and reconciles credit card statement each month for all of Maintenance credit card holders. This position is a paymaster for the maintenance department and will pick up, secure and distribute checks as needed. This position is responsible for all training, track and scheduling staff when re-training is necessary monthly. This is responsible for entering all orders for MIM’s for Plant Operations. Submit all on-call mileage pay voucher requests. Collect vehicle Mileage logs and inspect for completion and send to Transportation. This position is responsible for procurement credit card logs and reconciliation of credit cards for Maintenance personnel. This position is back up for entering driving records as needed by Transportation. This position must be able to communicate both in writing, verbally in an acceptable manner, have excellent telephone skills and be able to transfer raw data in a variety of programs, must be able to prepare, file and retrieve necessary reports/documentation as requested and prioritized, complete assigned projects, and participate in routine duties and other duties as assigned by the Office Manager, and or the Director of Plant Operations. This individual works under the general supervision of the Office Manager.

Essential Job Functions:
Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. May serve in an on-call status on a rotating schedule as required to meet operational needs of the facility.

Knowledge of General Office Duties.
Ability to communicate effectively verbally or in writing in English.
Computer data entry experience.
Must be able to operate all office equipment and programs.
