Job Description

  • Serve as liaison with various departments
  • Perform key project management support duties to support one or Senior Stakeholders with respect to coordinating internal and external stakeholder meetings, preparation of meeting materials/presentations, data entry in workflow tracking tools
  • Main contact for the Chicago office for facility and office matters on the municipal side of the business.
  • Oversee day-to-day office operations, including ordering supplies, maintaining office equipment, maintaining key inventory, and requesting facilities, IT and telecommunications services.
  • Take responsibility for personnel, human resources, and compliance issues that directly affect department personnel.
  • Maintain and update database for Municipal Sales including communicating reassignments and inquiries regarding open accounts.
  • Maintain reporting for mandatory absence policy for the municipal department.
  • Update and maintain Business Continuity Plan for the municipal department.
  • Maintain update municipal account coverage (including account additions, deletions, transfers, etc.)
  • Manually prepare and submit group net and net designations on new issue co-managed deals
  • Assist new hires and serve as liaison to compliance and human resources departments
  • Make travel arrangements for various members of the Municipal Products Group
  • Prepare expense reports for various members of the Municipal Products Group
  • Compose and edit emails and correspondence for distribution within the department.
  • Proactively identify operational risks/ control deficiencies in the business
  • Review and comply with Firm Policies applicable to your business activities
  • Escalate operational risk loss events, control deficiencies and risks that you identify to your line manager and the relevant risk and control functions on a timely basis.
  • Requires refined communication skills so as to provide informed and professional assistance to the head of the departments as required. This position requires a high degree of confidentiality.

Qualifications:

  • At least 1 year of finance industry experience preferred
  • Strong proficiency of the Microsoft Office package, particularly Excel and PowerPoint
  • Excellent written and oral communication skills
  • Strong analytical skills and detail-oriented
  • Ability to organize work and manage multiple priorities
  • Strong coordination and project management skills
  • Able to handle confidential matters with discretion and good judgment
  • Ability to meet deadlines
  • Ability and willingness to learn the processes and procedures which are unique to the municipal markets.
  • Ability to multi task and observing market trends and managing risk and change direction of focus, if necessary
  • Ability to make quick decisions and direct others to appropriate actions
  • Ability to quickly analyze market movements, determine the impact to the line of business and effectively communicate corrective measures when necessary.

Job Summary

The Office Manager will support Spread Products in our Chicago office (office of approximately 75 employees) covering multiple products and functional areas. The candidate will also be an executive assistant to the head of Municipal Products, supporting Municipal Sales, Trading, and Underwriting staff throughout the country. The candidate is responsible for various administrative issues involving new hires, compliance requirements, supervisory and managerial duties which requires a high degree of confidentiality. The candidate also works in a growth oriented sales environment as a primary point of contact in daily account analysis, account assignment and account management for the municipal sales salesforce.
