Please note that no relocation or sponsorship opportunities exist for this role, and that the candidate must be based in or be willing to travel to our Boston Office in the Seaport until December 2024 where we will then move our office to Downtown Boston. We expect this person to be in the office 4 days per week.

By seamlessly coordinating logistics, managing communication, and thoughtfully designing our workspace, they will ensure that our physical environment is a true reflection of who we are and what we stand for. As we embark on this exciting journey, in a new office space, this individual will play a vital role in creating a space that inspires our team, enhances productivity, and strengthens collaboration, all while staying deeply aligned with our core values.

This role is interesting because you will:

Office Operations:

  • Utilize Robin analytics and data to manage the dynamic utilization of collaboration spaces, shared seating, assigned seating, and amenity spaces to meet the needs of our teams.
  • Own vendor relationships, acting as the main point of contact for building management, and oversee service quality.
  • Maintain office spaces, ensuring meeting rooms, office supplies, and kitchen areas are fully stocked and functional.

Strategy and Engagement:

  • Act as the main point of contact for all in-office interviews, new hires' first days and customer visits, ensuring all people have a world-class experience in our space.
  • Help shape and execute the company's workplace strategy and philosophy, aligning with Robin's overall business objectives.
  • Support aspects of the employee experience, focusing on internal events, programs, and employee satisfaction.

Administration & Communications:

  • Plan, create, and share key workplace communications and announcements to keep employees informed and engaged while fostering strong relationships.
  • Act as a central point of contact for remote employees, facilitating communication and support across the organization.
  • Process and monitor all office related expenses, including managing invoices and budgeting.

Hospitality & Team Events:

  • Plan, host, and support a diverse range of in-office events that drive attendance and foster a sense of community and inclusiveness.
  • Organize and execute company and executive team events such as monthly gatherings, annual kickoffs, board meetings, and executive team offsites.
  • Liaise with internal and external vendors, suppliers, and service providers to ensure timely delivery and quality of services, including cleaning, maintenance, and security.

You are qualified if you have:

  • Multiple years of experience in office management, workplace experience, or a similar role.
  • Strong organizational and project management skills with the ability to manage multiple priorities simultaneously.
  • Excellent communication and interpersonal skills, with a customer service oriented approach.
  • Proficiency in data analytics tools and software for workplace management (e.g., Robin).
  • Ability to work independently and as part of a cross functional team, fostering collaboration and teamwork.

Preferred Skills:

  • Experience in developing and executing workplace strategies that enhance employee engagement and satisfaction.
  • Familiarity with best practices in office operations, vendor management, and event planning.
  • Strong problem solving skills and the ability to troubleshoot issues effectively.
