Job SummaryThe Supervisor of Instructional Services is responsible for the day-to-day operations of the Instructional Services team, managing and establishing service, program and project priorities. This role supervises a team of professionals, and under the guidance of the Assistant Director, ensures quality delivery of testing, including virtual testing, in-person testing, and accommodated testing services to a diverse student population. The Supervisor fosters a team environment, manages staff, and makes virtual testing assignments in a high-paced environment, and contributes to student success and retention efforts. The Supervisor collaborates with the Assistant Director of Instructional Services to develop, maintain, and implement the Virtual Testing Program, including the training of staff, students, and faculty on the processes of the Virtual Testing Program.
Operational Leadership
Assigns and delegates tasks provide direction, resolves issues, eliminates barriers, communicates job expectations, trains staff, and faculty, and develops professional growth opportunities.Communicates and assists with the implementation of office strategies and priorities. Assists in recruiting and hiring and provides ongoing feedback and coaching.Conducts annual employee evaluations and recommends pay increases, promotions, and other personnel actions in collaboration with the Assistant Director.Approves leave and time entry in Workday and authorizes overtime as appropriate.Administers disciplinary actions upon approval and in collaboration with Human Resources. Interprets, explains, carries out, and enforces the College's policies.Monitors, controls and ensures compliance within a single department budget. Instructional Services Management Provides oversight of the virtual testing and in-person testing administration processes. Responsible for day-to-day operations of the Virtual Testing Program including review of incidents, communication to students and faculty, case management, including proactive outreach and holistic support, assignment of virtual testing reviews to staff, and oversees the Maxient system for virtual testing. Collaborates with the Assistant Director of Instructional Services to create the staffing schedules for virtual testing and in-person testing as well as the schedule for final exam week.Provides leadership and oversight, and supervision of Online Student Guide's (OG) who assist students taking virtual classes by connecting them to college resources. Oversees the virtual proctoring (VP) training and support offered by the Online Student Guides and assigns a caseload of virtual students to each OG on a semester basis.Serves as the Blackboard/LMS subject matter expert. Provides input and implements strategy regarding cross-functional practices, workflow integration and coordination, and optimization of best practices. Tracks ongoing individual progress of staff members to ensure timely, responsive, equitable production efforts.Develops training programs for staff and faculty as it relates to the Virtual Testing Program. Monitors the need for additional training throughout the semester. Creates and edits forms, brochures, and information packets for marketing of services. Manages and operates services meeting the standards of professional and academic departments and external community partners. Building Partnerships Stays up to date on current accreditation requirements and state and federal compliance issues related to virtual, in-person and accommodated testing, serving as a resource to students, staff, and faculty.Provides consultative services to academic departments, non-academic departments, College workforce initiatives, and external community partners on testing and assessment services, tools, and products to support their respective professional, organizational, and academic needs. Administration Provides detailed reports to direct evaluation of programs on a regular and as-need basis. Maintains confidentiality of college records, and maintains financial records, inventories, and other sensitive information.Assures appropriate supporting documents, forms, and reports are filed accurately and in a timely manner.Completes and maintains required documentation, including virtual testing administration statistics, performance, and project status reports. Culture of Respect Fosters and maintains a safe environment of respect and inclusion for faculty, staff, students, and members of the community. OTHER DUTIES & RESPONSIBILITIES Manages multiple assignments of varying complexity while meeting federal, as well as internal, regulations and procedures, with the ability to adapt to changing needs of the College and business partners. Attends all required meetings and training. Hours will include working outside of the normal work week, including evenings and weekends as needed to meet workload demands and college extended scheduling *Regular, predictable, and punctual attendance is required. MINIMUM QUALIFICATIONS Bachelor's Degree in Higher Education, Business Management, or a closely related field.Three (3) years of progressively responsible experience in a college student service setting.State Motor Vehicle Operator's License or demonstrable ability to gain access to work site(s). * An appropriate combination of education, training, coursework, and experience may qualify a candidate. KNOWLEDGE, SKILLS, & ABILITIES Knowledge of: management and supervisory practices; community college student needs; student outcomes assessment principles, methods, and practices; scheduling and logistics; data analysis and data-driven decision-making; adaptive services and technology; computers, software, including cloud applications, to include Microsoft Office applications (Work, Excel, Outlook, PowerPoint).Skilled in: verbal and written communication; maintaining good public relations; customer service; conflict resolution; general typing; application of job software programs; solving organizational problems; examining and assisting in developing operations and procedures; maintaining documentation and records; utilizing job related computer software and technology tools, including student information system data, Learning Management Systems ,other institutional data systems; operation of job-related and other equipment.
