The new People and Culture sector at the University of Montana (UM) invites applications for an Onboarding Specialist to oversee the: organization, implementation, and management of the university-wide orientation, onboarding, and coordination of training programs for all new UM employees. As the Onboarding Specialist you will facilitate an effective, supportive introduction to employment with the university for all incoming new hires. You will support a consistent and seamless delivery of the UM employee onboarding experience by partnering with: Human Resource Services (HRS) and Office of Organizational Learning and Development (OOLD) colleagues working within the People & Culture sector, and other campus stakeholders.

Responsibilities:

  • Guides new employees to complete new hire paperwork, confirm work authorization (I-9 completion and E-Verify) and attend required orientation
  • Collaborates with other services to request basic employee access/login credentials for new employees and resolves any access issues
  • Develops and updates new employee orientation learning objectives, organizes and hosts ongoing new employee orientation sessions, and determines optimal delivery method, including both online and in-person programs
  • Collaborates with campus colleagues to organize and offer the university-wide employee onboarding program
  • Collaborates with the Office of Organizational Learning and Development and subject matter experts to provide recurring training for new employees on UM systems, required software, and UM processes and policies
  • Maintains knowledge of best practices in adult education trends, developments, and service strategies
  • Collects data and generates reports related to impact of orientation and onboarding programs; evaluates data to recommend continual process improvement
  • Recommends new approaches, modifications or changes that will improve the experience and efficiency of orientation and onboarding programs
  • Maintains online content, including employee resource and informational guides and handbooks to support orientation and onboarding goals
  • Remains current on eLearning tools, Learning Management System (LMS) and related systems technologies; implements them where appropriate
  • Ensures programs are accessible and coordinates with the ADA Coordinator as needed

Required Skills

  • Demonstrated service aptitude, which includes knowledge of customer service practices and the ability to adapt service delivery to customer expectations
  • Demonstrated, strong written and verbal communication skills that foster open and inclusive communication among diverse stakeholder groups and at varying levels of the organization
  • Demonstrated ability to develop collegial working relationships and collaborate with colleagues
  • Ability to manage multiple priorities, including resolving and trouble-shooting issues related to onboarding in a timely and supportive fashion
  • Experience facilitating events, trainings, or similar activities
  • Ability to use Microsoft Office applications such as PowerPoint, Word, Outlook, and Excel
  • Demonstrated attention to detail
  • Highly developed ability to maintain strict confidentiality when working with proprietary and sensitive information

Minimum Required Experience

  • High school diploma, two (2) years of related experience, or an equivalent combination of experience and education

Preferred Qualifications

  • Knowledge of or ability to learn best practices for assessing training needs and developing and delivering training content
  • Ability to use and become proficient in human resource information systems
  • Utilizing data and assessment outcomes for communication and to make continuous improvements for programs and services

Position Details

Position Title:Onboarding Specialist (Personnel Associate II)

Department: People and Culture/HRS and OOLD

Work Schedule: Full-time, 1.0 FTE (40 Hours a week),

Monday through Friday 8:00 am to 5:00 pm, 12 months/year.

An alternative work schedule including hybrid work options may be permitted as approved by supervisor; however, position is located in Missoula, MT and not available as a fully remote position.

Salary:$20.274/hr

Union Affiliation: NONE

Probationary Period: Six months minimum

Benefits Include : Insurance package, mandatory retirement plan,

partial tuition waiver, and wellness program.
