Job Description: We are seeking a detail-oriented and organized Administrative Assistant to join our team. The Administrative Assistant will play a crucial role in supporting the daily operations of our property management office. This position requires excellent communication skills, strong multitasking abilities, and a proactive approach to problem-solving.

Responsibilities:

  1. Provide administrative support to property managers and leasing agents, including answering phones, responding to emails, and managing calendars.
  2. Assist with tenant inquiries, lease agreements, and rental applications.
  3. Coordinate maintenance requests and communicate with vendors to ensure timely resolution of issues.
  4. Maintain accurate records and databases related to property management activities.
  5. Prepare and distribute notices, correspondence, and other documents as needed.
  6. Assist with the preparation of financial reports, invoices, and budgets.
  7. Coordinate property showings and assist with the leasing process as required.
  8. Assist with the organization and scheduling of property inspections and maintenance checks.
  9. Monitor office supplies inventory and place orders as needed.
  10. Perform other administrative tasks and special projects as assigned by management.

Requirements:

  1. High school diploma or equivalent; associate's or bachelor's degree preferred.
  2. Proven experience in an administrative role, preferably in property management or real estate.
  3. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software.
  4. Excellent communication skills, both verbal and written.
  5. Strong organizational and multitasking abilities with a keen attention to detail.
  6. Ability to work independently and as part of a team in a fast-paced environment.
  7. Knowledge of Fair Housing regulations and property management best practices is a plus.
  8. Positive attitude, reliability, and a willingness to learn and adapt.
