We are currently seeking a Administrative Assistant Senior Analyst to join our team in Plano, Texas (US-TX), United States (US).

In this role, you will support multiple leaders in Global Innovation Headquaters including a Senior Vice Presidents in North America, and other remote locations. You will be the one to perform clerical tasks, coordinating calendars, scheduling travel, booking, and preparing meeting rooms, setting meeting agendas, preparing reports, and setting the executives' daily schedule. A keen understanding of business concepts is also very important.

In this role you will be responsible for:

  • Coordinating the executives' daily schedule and deliverables.
  • Managing confidential documents with sensitive employee/account/client specific data on behalf of the executive(s).
  • Supporting the executive(s) during key meetings including the taking of minutes and the follow-up of actions to be performed.
  • Organizing key internal and external meetings including preparation and distribution of meeting materials and booking and staging meeting rooms.
  • Proactively carrying out administrative tasks in support of the executive(s) including, but not limited to, creation of presentations, creation of reports, correspondence, and communications.
  • Reviewing outgoing materials and correspondence for internal consistency and conformance with company policies.
  • Managing and maintaining documentation for the executive(s) in various locations such as SharePoint and other directories.
  • Coordination of special projects and department activities.
  • Performing other administrative duties as required.
  • Purchasing Card Transactions.
  • Iron Mountain Storage for client documents.
  • New Hire Onboarding support for CE and directs.
  • Support Communications with account wide messaging, All-hands meetings and The Hub.
  • Assist with Teams and SharePoint administration.
  • Maintain account Catalys Training Site.
  • Back-up for Contract Compliance and Procurement.

Requirements for this role include:

  • Ability to work from our Plano, TX location once in-person work resumes. For now, will work remotely.
  • Exceptional customer service skills.
  • Ability to coordinate with C Suite clients
  • Excellent organization and time management skills.
  • Advanced working knowledge of Microsoft Office suite.
  • High proficiency in creating PowerPoint presentations.
  • Ability to manage calendars within Microsoft Outlook.
  • Excellent writing, analytical and problem-solving skills.
  • Ability to effectively respond to shifting and changing priorities of a complex nature.
  • Ability to understand the variety and oftentimes very sensitive information and how to handle legal and confidential information.

Basic Qualifications:

  • Minimum 5 years' experience in Delivery Mgmt Administrative Support
  • Minimum 3 years' experience in Marketing/Communications
  • Minimum 3 years' experience in Change and Process Management
