The Assistant Director of Divisional Initiatives Independently handles a caseload of student (undergraduate, graduate, medical, and law) issues/grievances from onset to resolution. Includes logistical coordination and customer service responsibilities. The goal of the position is to provide support for the Assistant to the SVP and the Division through management of Temporary Injuries cases, administration of the Follett Book Scholarship, support for tracking and reporting of emergency funds, support for professional development of staff in the Division, and guiding students and families through University processes.

Primary Duties and Responsibilities

  • Serve as primary point of contact for Temporary Injuries cases, including advising student on campus resources, advising student on how to communicate with faculty, serving as a consultant to family members, and recommending students for emergency fund support.
  • Coordinate the distribution of the Follet Book Scholarship.
  • Serve as the primary coordinator for the distribution of the Follet Book scholarship in the fall and spring semesters.
    • Meet with scholarship applicants, assess their needs, and determine eligibility.
    • Manage ombudsperson case follow up as necessary.
    • Collaborate with financial aid to verify eligibility criteria.
    • Address inquiries, resolve issues, and provide information on student support.
    • Liaise with Campus Store staff to ensure timely delivery of textbooks.
  • Track and report Emergency Funds, including Patricia A. Whitely Emergency Fund, according to the established University guidelines.
  • Update relevant communication materials related to Ombudsperson services, including website content and presentations.
  • Provide direct support to the Assistant to the SVP with Professional Development in the Division.
    • This includes program planning, recruitment of hosts and/or speakers, program execution, and assessment.
    • Manage budget for Professional Development activities.
  • Manage ombudsperson case load as assigned.
    • Liaise with offices as necessary with caseload.
  • Maintain accurate records, document processes, and communicate effectively in written and oral forms.
  • Assist in data collection and report creation as directed.
  • Respond promptly to phone calls, requests for assistance, and information.
  • Undertake additional duties or projects as assigned by the supervisor.
  • Respond in a timely manner to phone calls or requests for assistance or information.
  • Complete other duties or projects assigned by the supervisor.

Knowledge, Skills, and Abilities:

  • Excellent communications skills, both written and oral, required.
  • Excellent organizational and strong detail-orientation skills required.

Education Requirements (Essential Requirements):

  • Master's degree required, i.e., Education, Communication or similar field.
