How Is This Role Important to Our Work?

The Payroll Coordinator is responsible for executing payroll operations accurately and efficiently. This role involves collaboration with the finance and accounts payable departments to resolve discrepancies, ensuring compliance with policies and procedures, and maintaining accurate payroll records. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work independently in a dynamic environment.

A Day in the Life:

Payroll Discrepancy Resolution:

Collaborate with accounts payable and finance departments to identify and resolve payroll discrepancies and issues.Research and resolve returned garnishment checks.Handle system payroll inputs to ensure accurate and timely payroll processing.Payroll Operations:Maintain payroll operations by adhering to established policies and procedures.Participate in Workday quarterly testing to ensure system efficiency and accuracy.Oversee distribution of payroll checks and support payroll administrators as needed.Communication & Coordination:Monitor, research, and respond to emails in the team's inbox.Coordinate with other departments regarding payroll changes, such as terminations and new hires.Respond to verification of employment and income requests and answer unemployment wage verification questions.Compliance & Reporting:Support management in working with authorities (e.g., IRS) on audits or requests.Maintain and process emergency fund approvals and documents.Prepare and submit ADP monthly IL SUI files and Washington Labor and Industry reports.Reconcile monthly and outstanding payroll items at month-end.Documentation & Auditing:Review payroll documentation for accuracy using audit reports.Process employment verifications and maintain accurate payroll records.Receive, process, and respond to requests from the HR ticketing system, ServiceNow.Project Assistance:Assist with any open projects in the payroll department and other duties as assignedNice to Have:Workday experience. Required Skills and Experiences:2+ years of related professional experience. All relevant experience including work, education, transferable skills, and military experience will be considered.Experience with Microsoft Office 365 toolset, specifically Excel, Word, and Outlook.Ability to navigate between multiple applications efficiently.Strong organizational and time management skills to prioritize tasks and meet deadlines.Ability to maintain strict confidentiality and handle sensitive information.Strong attention to detail with the ability to analyze large data sets and resolve payroll variances.Excellent communication skills, including listening, verbal, and written capabilities.Ability to adapt to changes in processes, systems, and procedures.Ability to work virtually under minimal supervision.Self-motivated and able to prioritize work in a dynamic environmentMake A Difference
