The main role of the Billing Specialist is to support internal and external customers to ensure invoices are created and billed in a timely manner for maintenance and hardware quotes and billable service tickets. Performs invoice preparation, audits, adjustments and assists in month-end activities.

Here's what this position is all about...

  • Complete day to day invoice preparation for maintenance, billable and hardware invoices and ensure accuracy of invoices
  • Provide timely invoice generation for domestic and international customers while adapting to changing schedules and priorities within a fast-paced, deadline-driven environment
  • Ensure all agreements are set up for accurate tax status & maintain customers folder with current tax documents
  • Maintain the billing department inbox; disbursing information to appropriate personnel, departments, and/or management
  • Input invoice data into systems and generate reports
  • Escalate returned invoices and invoice discrepancies for resolution
  • Review all invoicing documents electronically for accuracy and completeness
  • Maintain third-party billing portals for applicable customers
  • Communicate with sales teams and customers to help resolve any billing discrepancies
  • Maintain prepaid accounts and deduct from balances as needed
  • Reopen maintenance tickets for engineers as requested
  • Complete month-end duties ensuring all customer invoices are sent timely according to specific customer requirements
  • Collaborate internally on process improvement initiatives to ensure process sustainability for external customers and internal growth
  • Work with external customers on invoicing and purchase order requirements and update invoices as necessary
  • Work with sales and service teams to ensure discounts are approved as needed
  • Aid Sales and Customer Success Specialists and Sales Teams with billing questions and projects including comparing excel spreadsheet, providing customer specific reports
  • Participate in professional development including, but not limited to: developmental reading, conferences, ride alongs with other departments, among other designated tasks..

  • Exceptional time management skills and ability to adapt within a rapidly changing environment
  • Detail oriented and enjoys problem solving
  • Billing experience desirable but not essential
  • Strong oral and written communication skills
  • Effective analytical and strategic thinking skills, including a pragmatic approach to solving problems
  • Proven organizational skills including a commitment to best practices and high standards of performance
  • Experience in Microsoft Office Suite, Microsoft Dynamics, and Great Plains ideal but not required
