Position Description

The Auxiliary Programs Rentals Coordinator is a key member of The Pingry School's Auxiliary Programs team and is responsible for managing and developing auxiliary programs and rentals across all campuses. This role involves creating partnerships, managing contracting processes, coordinating facility usage, and collaborating with various school departments to support and enhance the school's mission and community engagement. At The Pingry School, you will contribute to a rich history of academic excellence and community engagement, all while working in a supportive and collaborative environment. Responsibilities

  • Auxiliary Rentals Management: Develop and maintain relationships with external organizations and vendors for facility rentals. Manage all aspects of the rental process, including contract drafting, invoicing, and coordination of facility use.
  • Cross-Collaborative Efforts: Collaborate with the Assistant Director of Operations, Director of Facilities, Athletics Department, and other key stakeholders to ensure efficient use of school facilities for events, sports, and theater productions.
  • Administrative Support: Provide clerical and administrative support to the Controller and Accounting Supervisor. Assist with marketing efforts and coordinate the Summer Rental Partner Program.
  • Strategic Planning: Work closely with the Director of Auxiliary Programs to develop revenue generation and program expansion strategies that align with the school's values and mission.
  • Safety and Security: Ensure all safety and security protocols are communicated and adhered to, including coordination of AED locations and safety drills.

    Qualifications

    • Bachelor's degree or equivalent experience in business administration, event management, or a related field.
    • Strong organizational and project management skills with the ability to manage multiple projects simultaneously.
    • Excellent communication and interpersonal skills, with a focus on relationship building and partnership development.
    • Experience in contract management and financial processes, including invoicing.
    • Familiarity with educational environments and a commitment to the values and mission of The Pingry School .
    • Comfortable with incorporating the latest technology into your workflow, including Campbrain, Finalsite and Zoom.
    • Skilled in navigating the Google Suite of applications (Gmail, Google Drive, Google Calendar, etc.).
    • Ability to work in a fast-paced environment.
    • Demonstrated ability to develop meaningful relationships and to work productively with a broad range of constituents, including faculty, staff, students, and partners.
    • Robust interpersonal skills.
    • A positive and optimistic attitude and creative approach to problem-solving.
