Position Summary

Reporting to the Director of Academics, the Registrar is the lead data manager for all records, systems, and processes related to the school's academic functions. The Registrar maintains academic records within the school's information systems and regularly collaborates with other departments to ensure data accuracy. The Registrar also plays a key role in academic scheduling and course enrollment in partnership with leadership in the Lower, Middle, and Upper Divisions. This is a 12-month position.

Responsibilities

  • Create, maintain, and ensure the accuracy of course, class, and enrollment data across all divisions and co-curricular activities.
  • Lead the course selection and enrollment processes in collaboration with Divisional leadership.
  • Develop and manage timelines and protocols for academic processes in partnership with division leadership and the Academics team.
  • Manage grade reporting processes, ensuring timely release of student grades and narrative reports.
  • Regularly update faculty, staff, and student portals with organized information pertinent to academic processes.
  • Maintain and communicate a calendar of important dates and division events.
  • Serve on scheduling committees and assist in designing the academic schedule for each division.
  • Produce data reports to support school processes and strategic initiatives.
  • Coordinate with various teams to ensure data consistency across platforms.
  • Research and implement best practices for record management and academic scheduling.
  • Maintain and develop student record retention and security policies in collaboration with the Archivist.
  • Produce and manage academic records, transcripts, and verification documents for both current students and alumni. Qualifications
    • A Bachelor's degree is required, preferably in Education, Information Management, or a related field.
    • A Master's degree in Education Administration, Information Science, or a related field is a plus.
    • Minimum of 4-6 years of experience in an administrative role within an educational setting, specifically managing student information systems and academic records.
    • Previous experience as a Registrar or in a similar role overseeing academic scheduling and enrollment is highly desirable.
    • Proficiency in using Student Information Systems (SIS), with a strong preference for experience with Veracross.
    • Experience with data management tools and database software.
    • Competency in using Google Apps for Education (G Suite).
    • Basic coding skills in Python and/or JavaScript are beneficial.
    • Strong organizational and data management skills.
    • Excellent attention to detail and high accuracy in data entry and management.
    • Ability to develop and implement efficient systems and processes for record management.
    • Strong analytical skills with the ability to produce and interpret data reports.
    • Effective communication skills, working with diverse teams, and clearly conveying complex information.
    • Proactive problem-solving skills and the ability to manage multiple priorities.
    • Commitment to maintaining confidentiality and managing sensitive information.
    • Demonstrated ability to lead and collaborate in a team-oriented environment.

    • Knowledge of educational policies and regulations related to academic records and privacy.
