JOB PURPOSE:
To provide both bid management back office process support and business challenge and insight reporting that collectively will help support the Contract Logistics (CL) business grow and engage more effectively and efficiently with our customers.
This role is to provide the necessary process and reporting that supports CL Bid Management in the Americas Region – supporting both the wider Global growth and in-region capability needed in Bid Management.
This will be achieved primarily around the management and adherence of the business teams to the defined CL Bid Management and CRM processes, but then also using the CRM data and wider DP World data to create the focused business challenges and pipeline-associated reporting that the regions may require.
KEY ACCOUNTABILITIES:
- Manage all required bids via the defined DP World bid management process. The Bid Manager will utilize CRM and various tools to ensure company success from RFI through Award.
- Communicate and escalate any potential delays to key stakeholders.
- Work closely with Sales to ensure high-quality bid proposal is presented to our customers.
- Be willing and able to engage senior internal stakeholders to progress the required bid management process activities. Be a "self-starter" in proactively engaging any internal stakeholder to both produce output, but also to question and continuously improve our internal processes.
- Responsible for maintaining an RFI database and assisting Sales with questions regarding RFIs.
- Ensure key meetings are scheduled to ensure all aspects of each solution proposal are addressed professionally and efficiently.
- Host key approval calls and attend other calls as required capturing key issues and takeaways. Documenting and informing key stakeholders.
- Produce and reinforce bid timeline.
- Manage Agenda and facilitate escalation meetings including collecting approvals.
- Support Sales to deliver high-quality RFI/RFQ response documents & presentations to prospective new customers by providing and reviewing proposal documents.
- Drive RFQ response progress through company approvals in CRM to ensure all steps are followed & deadlines are achieved.
- Support Sales and enforce updates to Opportunity records in CRM to ensure accurate bid status and allow for accurate report creation.
- Strive to drive faster adoption of the changes that impact sales employees in the organization to increase benefit realization and the achievement of results and outcomes.
- Manage relationships across business segments and multiple functional areas.
- Work independently and handle, track & prioritize multiple RFQ response assignments concurrently.
- To proactively challenge how things are done today and identify areas of improvement – so we can continuously improve our process, credentials, and how we are seen by customers when they receive a DP World submission.
- Work with the Sales Team to understand needs and support successful bids through to final award
- Provide sales training to the commercial team as well as other bid stakeholders.
- Managing Sales Data and Analytics while ensuring data integrity.
- Partner with Sales on various projects and planning.
- Work in complex project environments, and work with both long-range and short-term business objectives and management of multiple stakeholders interpreting and analyzing results.
- Delivering formal and informal presentations to internal team members
- Manage communication with stakeholders throughout the organization, including executive staff, regarding product goals and progress against those goals
- Dedication to self-driven improvement while prioritizing current responsibilities.

QUALIFICATIONS
- Preferred – Bachelor's Degree or equivalent in related field
EXPERIENCE
- 1-3 years experience in Sales Operations/Project Management
- Proven history of accountability and ownership of project deliverables
- Possess a strategic mindset
- Possess excellent written and verbal communication skills and the ability to write clear, concise, and compelling copy
- Experience in analysis and requirements gathering. Strong analytical, planning, problem-solving, and organizational skills.
- Ability to use technology and data to measure KPIs
- Strong business and commercial acumen
- Experience in the logistics industry is preferred
