As a part of a diverse community of faculty and staff who represent many faith systems and worldviews, Marian University seeks a Business Office Generalist to promote our Catholic Franciscan mission and identity by being responsible for maintaining the customer service counter and customer service email account in the Business Office and managing incoming calls Monday through Friday from 8:00 a.m. to 4:30 p.m. This individual is also responsible for processing and receipting all payments [cash, checks, electronic deposits and credit card payments] for the university and overseeing the general accounting that is completed by the office.

Essential Duties and Responsibilities:
  • Actively engage the Catholic Franciscan mission and identity of Marian University by modeling the Franciscan Sponsorship Values, honoring the legacy of the founding congregation, through transformative education unity in diversity, leadership through service, integrating faith and life, institutional policies.
  • Primary responsibility for greeting and assisting customers who visit the office in person including students, employees, vendors and other campus visitors. This individual also has responsibility for answering the telephone and general office email and responding to inquiries about student accounts;
  • Primary responsibility for receiving and receipting of all payments received in the business office according to standard policies and procedures. This includes student payments, miscellaneous revenue and donations to the University;
  • Primary responsibility for posting accounting entries for all deposits for federal, state and private funds including daily review of all bank account statements. This individual assists the staff accountant with daily operating cash reconciliations and ensures proper posting and accounting for receipts.
  • Responsible for daily oversight of the cash drawer and vault and for requesting currency as necessary. This individual also is responsible for review and follow up on all cash advances processed by the business office.
  • Responsible for assisting other staff in daily closing procedures, maintaining daily closing documentation, posting manual adjustments to student accounts as needed and directed by the Director and/or Assistant Director of Business Services.
  • Responsible for daily review and maintenance/troubleshooting of all payment platforms for the University including but not limited to: Nelnet, Square, Crowd Funding, University Tickets, PayPal, Raiser's Edge.
  • Responsible for ordering office supplies and overseeing and managing inventory of office supply items on hand;
  • Other duties and tasks may be assigned by the Director or Assistant Director of Business Services as needed and deemed appropriate.
Required Qualifications:

  • Bachelor's Degree is desired.
  • Ability to both speak and write in Spanish is a desired skill.
  • Requires the ability to multi-task and make rapid decisions in a busy and often noisy environment with many interruptions.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Must be able to be bonded. Must maintain a valid driver's license.
  • Must be able to interact with students, employees and other customers in a positive manner on a daily basis. Must have excellent communication and interpersonal skills.
  • Requires use of a personal computer and software products that will include but not be limited to Microsoft Excel, Word, Colleague and Outlook. Experience in use of executive functions of Excel is highly desired.
  • Requires use of a 10-key adding machine and a multi-line telephone.
