As the Front Office Assistant, you are the first point of contact for our guests. Your role is crucial in creating a positive first impression for our visitors and clients, providing exceptional customer service and broad range of administrative support for the office and other teams.

Key Responsibilities

  • Greet and welcome visitors and clients, ensuring a positive and professional first impression.
  • Manage the front desk operations, including maintaining a clean and organized reception area.
  • Conduct clerical duties, including filing, answering phone calls, responding to emails and preparing documents.
  • Handle incoming and outgoing mail and packages.
  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system.
  • Update and maintain office policies and procedures.
  • Order and maintain adequate inventory of office supplies.
  • Conduct travel arrangements.
  • Act as the point of contact for internal and external clients.
  • Liaise and handle requests and queries from senior managers and various departments.
  • Perform offsite tasks as needed.

What We're Looking For

  • Able to demonstrate time-management, detail orientation, multi-tasking, and independence.
  • Minimum 2-3 years experience in a front office and/or administrative role.
  • Excellent verbal and written communication skills.
  • Strong customer service skills and a positive attitude.
  • Mid-level experience with Microsoft Office (e.g. Word, Excel, Outlook).
  • Must have valid Driver's License and reliable transportation.
  • Flexible work schedule
