Day - 08 Hour (United States of America)The Stanford Medicine Technology and Digital Solutions team was formed to provide the Stanford Medicine community with the most innovative technology services as efficiently as possible. Led by Michael Pfeffer, CIO and Michael Halaas, Chief Operating Officer and Associate Dean in the School of Medicine, the unified organization brings together the best of the School of Medicine and Stanford Health Care IT to enable new opportunities for groundbreaking work and compassionate care. Together, the Technology and Digital Solutions team will work to break down historic organizational barriers to enable even greater collaboration across Stanford Medicine hospital and clinics, and the entire University.This is a Stanford Health Care job.

A Brief Overview
The Internal Communications Specialist is responsible for developing and executing communications and education materials for internal audiences in support of the Informatics Education mission. This includes crafting and customizing messages, publishing communication materials across a variety of channels, and helping drive engagement with our knowledge base and educational materials. This position will collaborate with a variety of clinical, non-clinical, and IT stakeholders.

Internal Communications Specialist has three levels that are distinguished from each other primarily by the range and depth of expertise required, range and depth of services provided, and independence of action (degree of supervision received).

Level I: Intermediate
Fundamental understanding of internal communication workflows, media platforms, and audience segmentation
Ability to coordinate and execute communication campaigns with minimal oversight
Collaborate with Informatics Education, Information Technology, and Subject Matter Experts to identify and address communication needs, as well as establish best practices and standards
Develop and maintain support documents for assigned area(s) of responsibility

Level II: Advanced
All responsibilities of Internal Communication Specialist I, including:
Collaborate with Informatics Education, Information Technology, and Subject Matter Experts to identify and address communication needs
Support high-impact program and application implementations
Analyze marketing trends and adapt to changing business needs
Identify new audiences and points of entry
Serve as the Informatics Education liaison for external departments
Function as an education, training, and communication project manager
Provide recommendations and insight around strategic decisions and complex issues
Recommend new processes, tools, and services
Support and contribute to development of new products, services, or techniques

Level III: Senior
All responsibilities of Internal Communication Specialist II, including:
Advanced knowledge of market segmentation and communication methodologies
Drive strategy via objective and meaningful data
Drive digital technology efforts and understanding during all project phases
Act as a functional project manager for complex training initiatives
Onboards new technologies and programs with moderate oversight and guidance
Transitions new technologies and programs to standard work, including training and maintenance
Serve as Subject Matter Expert in an area beyond standard service lines
Support junior-level employees around work-related skill set development
Serve as a resource and coach for staff and influence the workforce to achieve high level of performance
Independently identify opportunities for improvement and implement solutions
Seek innovative solutions to improve the quality and scope of Informatics Education services

What you will do
  • Develop and implement a communication strategy that includes education outreach and content creation.
  • Engage staff with the team's mission and goals, foster a strong culture, and increase stakeholder awareness of education and support services.
  • Manages the planning, copywriting, and execution of communication campaigns and projects related to technology, support, training curriculum delivery, employee profiles, services, and programs.
  • Collaborates with internal stakeholders to develop strategic messages that are deployed on multiple channels (e.g., SharePoint, ServiceNow, email, MS Teams, MS PowerPoint, etc.) via various medias (e.g., newsletters, announcements, presentations, talking point documents, etc.)
  • Acquire and maintain a detailed knowledge of the company's policies, principles, and strategies, and keep up-to-date with relevant developments.
  • Adhere to the team's style guide, ensuring that we produce a high-quality and error-free copy.
  • Work with key internal role-players to brainstorm content ideas, in line with the team's strategy and in support of various program initiatives.
  • Support and evaluate results of communication campaigns with the team.
  • Manages SharePoint team site content that includes setting standards, drafting content, editing content produced by others, and publishing.
  • Gathers data and reports on the effectiveness of communications efforts.
  • Develops collaborative working relationships with stakeholders (e.g., physicians, clinic managers, vendors, media, etc.) to facilitate the development and implementation of marketing and communication materials.
  • May organize, design, and conduct relevant market/audience research (primary and secondary) to support marketing recommendations.
  • Maintains close collaborative relationships and partners with key Informatics Education functional areas that require internal communications strategic planning, content development, and implementation.
  • Acts as back-up support for our Knowledge Manager of technical content.
Education Qualifications
  • Associate's degree required. Senior roles require bachelor's degree. Relevant experience in lieu of degree may be considered. Relevant experience in lieu of degree is in addition to the experience requirements for this position.
Experience Qualifications
  • Minimum 3 years of general work experience.
Required Knowledge, Skills and Abilities
  • Understand health care workflows and EHR/technology functionality
  • Apply general medical terminology
  • Apply EHR/Technology knowledge to assess communication requests and end-user need
  • Apply industry-standard adult learning, training, and coaching principals/methods
  • Identify metrics that monitor communication program efficacy
  • Experience working with the Epic Electronic Health Record (EHR) preferred but not required
  • Extensive knowledge of media and emerging communication platforms
  • Exceptional written and oral communication and presentation skills to a wide range of stakeholders
  • Apply project management concepts and methodologies
  • Diagnose and resolve complex marketing and communication needs/issues
  • Focus on customer service and high-quality service offerings
  • Possess appropriate interpersonal skills for inter-departmental collaboration and success
  • Develop written, oral, instructional, and presentational material at a professional level
  • Leverage high-functioning analytical ability and solution-oriented approach
  • Competencies in desktop publishing skills, and graphic production and design
  • Content writing experience for all media platforms
  • Highly computer literate with capability in email, MS Office, and related business and communication tools

Base Pay Scale: Generally starting at $ $57.40 per hour
