A Hilo business is immediately looking for a full-time Secretary to provide clerical support for their Project Managers.

Hours
Full-time, Monday to Friday, 7:00am-4:00pm

Location
Hilo, Big Island

Pay
$20 an hour

Responsibilities
  • Review and become familiar with plans and specifications to ascertain scope and complexity of the project.
  • Set up files for Project Manager at beginning of project.
  • Maintain all copies of contracts, purchase orders, change orders, etc.
  • Send all copies of signed Contracts, Purchase Orders, and Change Orders.
  • Gather all warranties from Subcontractors.
  • Establish and maintain communications with Vendors and Subcontractors.
  • Review and become familiar with budget for labor and material cost allocated for the project, and ensure that all efforts are made to complete project within budget.
  • Prepare weekly and monthly Subcontractor draws for payment as well as supplier invoices.
  • Help answer phones as required.
  • Prepare monthly reports.
  • Assist in the bidding process.
  • Perform other related duties as assigned.


Qualifications
  • Minimum 2 years of previous administrative experience preferred.
  • Experience working with contracts, purchase orders, change order required.
  • Proficiency with Microsoft office (Word, Excel, Outlook).
  • Valid Driver License preferred.
  • Strong communication (verbal, written, interpersonal) skills.
  • Strong analytical, organizational, multitasking, and problem-solving skills.
  • Ability to work well individually and in a team environment.
  • Hardworking and reliable.
