Pay and Hours

This position is a non-exempt role eligible for overtime in excess of 40 hours per week. Anticipated hour pay will range between $21 to $26 per hour.

Standard hours of Operation - Monday - Friday 8am to 5pm. This is a Full Time On-site position.

Job Purpose

The Administrative Assistant plays a crucial role in providing comprehensive administrative and office support across all functions within the High Point site. Reporting directly to the site manager, this position facilitates seamless operations by interacting with employees, vendors, and visitors. The primary objectives include ensuring efficient visitor reception, assisting in project implementation, managing administrative tasks, and upholding compliance with corporate policies and HSE standards.

Key Responsibilities

Visitor Reception and Support:

• Greet and assist visitors, providing relevant information and ensuring a positive experience.

Document Preparation and Distribution:

• Aid in the creation, preparation, and distribution of various documents, presentations, and materials.

Administrative Services for Projects:

• Provide administrative assistance during the execution of projects conducted by Troy site employees.

Data Collection and Reporting:

• Collect, process, and prepare reports on different areas of the site's activity as requested by site management.

Travel and Accommodation Coordination:

• Arrange travel reservations, hotel bookings, and restaurant reservations for employees and visitors.

• Organize internal and external meetings, ensuring smooth logistics.

Office Management and Supply Ordering:

• Assist in ordering office equipment, materials, and maintaining adequate food and beverage stock.

Compliance and Confidentiality:

• Ensure compliance with corporate and site policies/procedures, particularly regarding personal conduct and HSE standards.

• Handle confidential and non-routine information with discretion.

Financial Support:

• Support departmental finances by processing check requests, travel reimbursements, and documenting expenses.

Special Projects Coordination:

• Manage special nonrecurring and ongoing projects independently or within a team, coordinating presentations, information dissemination, and creating promotional materials.

Onboarding and Offboarding Support:

• Assist in onboarding and offboarding processes for employees.

Site Communication Assistance:

• Support site communication activities, including distributing updates, corporate policies, and managing communication boards.

Autonomy

The Administrative Assistant exercises autonomy in various tasks, including ordering office consumables, setting up meetings and meeting rooms, arranging meals for visitors, coordinating transportation and accommodation, updating site-wide communications, and coordinating supplier visits.

Job Requirements


• High School Diploma or Equivalent.

• Associate degree in office administration is a plus.

• Minimum of 4 years of experience providing administrative support or equivalent combination of education and relevant experience.

• Strong organizational skills and attention to detail.

• Excellent communication skills.

• High proficiency in Microsoft Office applications.

• Ability to collaborate and work cross-functionally to achieve objectives.
