The Office of Undergraduate Admissions at The Ohio State University is a dynamic and exciting place to work. This position offers an opportunity to strategically impact the future of Ohio State through the recruitment, admission, and support of outstanding students as the Outreach and Recruitment team is responsible for recruiting prospective students to The Ohio State University. The Program Coordinator, Outreach and Recruitment reports to an associate director within Outreach and Recruitment. The individual will be located in the Student Academic Services Building and will work closely and alongside a team of full-time staff members of approximately 30 and a broader Undergraduate Admissions team of 55. Peak seasons are typically July through May given the cyclical nature of the work supported across Undergraduate Admissions. In office work hours can range from 7:30 a.m. to 6 p.m., Monday through Friday, but will require early morning, evening, and weekend hours at various times during the year given the role's direct work with outreach and recruitment programs.

Detailed Position Description

As a member of the Undergraduate Admissions team the Program Coordinator will coordinate the development, facilitation, and evaluation of new and existing training and on-boarding programs for undergraduate admissions staff; including the development and facilitation of training documentation and modules, job aids and other on-going training/reference tools directly related to outreach and recruitment work using training best practices; assists outreach and recruitment leadership in exploring new areas of training needs and provides recommendations and works to identify communication and training needs; coordinates designated evaluation activities related to training and on-boarding; conducts needs analysis to identify training needs based on user request, gaps in knowledge and other feedback; conducts on-going evaluations of training effectiveness communicates, collaborates, and consults with undergraduate admissions teams to share information and facilitate decision-making; works with the undergraduate admissions Leadership and Development Committee and undergraduate admissions senior leadership to identify and facilitate relevant training programs and consistent recruiting and on-boarding protocols that enhance professional development opportunities for all undergraduate admissions staff and students; develops training and reinforcement activities; stays current in best practices in the training and development best practices.

Serves as CRM (Salesforce) facilitator for the outreach and recruitment teams, manages the daily oversight of domestic and international email boxes via the CRM and makes independent and collaborative decisions about assignment, workload, and responses; facilitates quarterly review of auto reply messages for associated email boxes to ensure appropriate messages are being relayed; under direction of associate director, generates data reports from EMA for use in outreach and recruitment efforts, including calling efforts of staff and campus partners; serves as workflow approver for population specific needs; ensures appropriate assignment, use, and development of the tool in collaboration with Buckeye 360 and Marketing and Strategic Communications.

Coordinates and schedules outreach and recruitment team for daily operational needs (overviews, appointments, phones, webinars, special programs); in collaboration with outreach and recruitment leadership, serves as a liaison with Buckeye Link to ensure awareness of availability and changes to calendar offerings. Manages the appointment, phone and overview alternate schedule. Hires, trains and coaches part-time seasonal admissions staff. Provide daily supervision and work assignments. Follow HR policies and procedures for hiring and off-boarding seasonal staff members.

Additional responsibilities the Program Coordinator include but are not limited to:

Counsels and corresponds with students, families, university departments, or other stakeholders regarding Ohio State admission policies, procedures, and general information over the phone, via email, and in person. Conducts large and small-group presentations. Learns and maintains knowledge of the areas within the office and university to best direct questions from staff and guests. Researches and resolves problems; learns and uses the Empowering Market Analysis (EMA), Student Information System, and other technologies to perform timely and accurate entries into databases regarding student application information, call/email activity and other processes, performs data validation. Manages electronic workflows.

Reviews applications (domestic, international, transfer, special population) and makes admissions recommendations through our holistic application review process that fluctuates through the year; coaches and monitors review progress for direct reports on an on-going basis.

Assists with on and off campus recruitment events and projects. Conducts recruitment travel in and outside Ohio as a back-up when needed. Evening and weekend hours required. Coordinate recruitment for special programs, as assigned. Provides support to access strategies, and on/off campus programs and initiatives. Participate as an active member of Undergraduate Admissions through membership on committees. Completes special assignments and other duties as assigned.

Desired experience; Work experience at a college/university, admissions preferred Demonstrated success in staff supervision 2-4 years of relevant experience preferred Knowledge of data interpretation Knowledge of CRM and other recruitment technology platforms.

Salary range for this position: $18.61 – $24.81. The offer for this position will fall within this range based on internal equity, units' available budget, and the candidates' qualifications.
