STGi is currently seeking a qualified Administrative and Quality Assurance Specialist candidates for the Department of Housing and Urban Development (HUD) and Veterans Affairs (VA) Supportive Housing (HUD/VASH) Program.
The role of the Administrative and Quality Assurance Specialist is to fulfill the administrative needs of the LA HUD-VASH contract and team members, while supporting quality assurance and peer review processes to ensure optimum enrollment and billing for Veterans in the program. Public contact is a significant function including contact with program staff, Veterans, other service providers, leadership, STGi Program Management, and VA liaisons. Position includes administrative tasks, office coordination, program support, data entry and analysis, and general program support.
JOB DUTIES:
Administrative Support:
· Maintain comprehensive program documentation, plans, and reports per the direction of the HUD-VASH Program Manager, including but not limited to the Whiteboard, training completion rosters for all staff, Veteran Referral Tracker, New Employee Onboarding Tracker, Standard Operating Procedures, STGi Housing Resource List.
· Maintain and update STGi HUD-VASH Staffing Roster and Organizational Chart as needed.
· Provide onboarding support for incoming team members to ensure timely completion of required paperwork, follow up to VA requests regarding updates to required documentation, scheduling fingerprints, e-APP completion, and completion of TMS required trainings. Maintain HUD-VASH tracking sheet with relevant dates associated with onboarding.
· Work with STGi IT and Program Management Operations to assign laptops and cell phones for incoming team members ahead of their start date. This may include ordering new technology depending on staff structure.
· Perform word processing functions, create forms/spreadsheets, and maintain both electronic and hard copy files per the direction of the Program Manager.
· Assures proper safekeeping, storage, and return of HUD-VASH Veteran files according to VA regulations and policies.
· Maintain office workflow including calendar of desk space and conference room usage, office inventory, supply ordering, and equipment maintenance, as needed.
· Disseminate key information to all staff per direction of the Program Manager.
· Assist with the implementation and tracking of specific projects and initiatives as assigned.
Customer Service:
· Respond to Veteran inquiries and in-office appointments with exceptional customer service.
· Support fellow team members to ensure the needs of Veterans are met.
· Receive, comprehend, provide, and respond to routine and complex inquiries and service requests through various communication technologies.
Quality Assurance:
• Maintain program policies, procedures and standards.
• Maintain up-to-date knowledge of HUD-VASH regulations, One-Team Updates, and service delivery Best Practices.
• Review CPRS Intakes/Enrollments to ensure completion of all required documentation including entry into HOMES.
• Complete review of Veteran records to ensure proper Case Management levels are being completed and all required subsequent paperwork.
• Prepare and deliver status reports to LCSW Supervisors and Program Manager utilizing CPRS and HOMES.
Required Skills
· Ability to work both independently and in a team environment.
· Ability to prioritize and manage workload and deadlines.
· Excellent analytical and problem-solving skills, including attention to detail.
· Valid Driver License and access to transportation.
Required Experience
· A minimum of a BA or BS Degree in relevant field.
· Demonstrated skill and ability to communicate clearly, both orally and in writing to various audiences.
· Intermediate to advanced level experience with recent versions of Microsoft Suite, such as Word, Excel, PowerPoint, Outlook, and Internet Explorer; ability to use current webinar technology and audio conferencing. Familiarity with Smart Sheets preferred.
· Skill in organizing workflow, multitasking abilities, and coordinating activities.
· Proficiency in data analysis.
· Experience working with vulnerable populations preferred.
