Job Overview

We are a high growth, fast-paced firm looking for a Payroll Associate Director to join our Finance & Administration Department. This position sits under the CFO reporting into the Payroll Director. The Payroll Associate Director will be part of the team responsible for processing payroll, related reporting and data integrity.

This is a highly impactful position of the payroll function for a Boston-based employee workforce and a small set of geographically dispersed employees (Canada). The Payroll Associate Director will be responsible for day-to-day administration, partnering with the team for all regular and unique pay cycles through completion of related tax and reporting requirements.

This individual will collaborate with our Finance and HR teams to provide ancillary support and to assist with special projects.


The ideal candidate for this position should be hands on and have strong knowledge of U.S. payroll processes, must have familiarity with payroll benefits and taxes and have the ability to prioritize and multi-task. They must be organized, have strong collaboration and communication skills, knack for numbers, a proven eye for attention to detail and able to handle confidential data and issues.

Responsibilities

  • Prepare bi-weekly and monthly payroll cycles, monitor time cards, special compensation amounts, and bonus payrolls
  • Ensure administration of payroll transactions are timely and in accordance with all applicable State/Federal laws and IRS regulations
  • Properly account for benefit transactions, miscellaneous, wage garnishment and retirement deductions withheld from employees' bi-weekly and monthly paychecks
  • Assist with the preparation and audit of payroll transactions such as, but not limited to, wage garnishments, tax withholding information, deductions, pay calculations, retroactive transactions, and reimbursements prior to processing each payroll cycle
  • Ensure the new hires, terminations, transfers and promotions are reflected accurately and timely within the Payroll processing system (ADP Workforce Now)
  • Responsible for the coordination efforts between Payroll, Human Resources, other Departments to ensure proper flow and maintenance of relevant employee data for regulatory or ad hoc reporting
  • Serve as a key employee contact to resolve payroll issues
  • Assist with quality review, data analysis, ensuring accuracy between systems (Workday, ADP Workforce Now, other benefit provider systems)
  • Track and resolve employee questions and maintain FAQ for employee reference
  • Complete and process compensation requests for leave administration
  • Prepare and post payroll journal entries into our accounting system
  • Assist with our system automation, integration and other ad hoc projects
  • Assist with documenting Standard Operating Procedures and Policies

Qualifications

  • Bachelor's Degree and 6+ years of experience handling all aspects of payroll administration in a complex organization required, preferably within financial services or another professional services industry
  • CPP Certification is a plus
  • Previous experience with multiple payroll vendors and assisting with system implementations and upgrades is a plus
  • Detail-oriented with strong organizational, problem-solving skills, and the ability to prioritize
  • High level of proficiency in auditing data, reconciliation and controls
  • Proficiency in Microsoft Office Suite (must be proficient in Excel)
  • Good interpersonal, oral and written communication skills
  • Ability to collaborate and deliver on leadership-directed tasks and provide ongoing feedback and communication to manager and team.
  • Able to maintain the confidentially of employee payroll and benefits data
  • Able to work closely and effectively with a diverse employee population
  • Ability to work independently as well as within and across teams
  • Experience with processing US payroll via ADP Workforce Now required
  • Experience with multi-state payroll preferred
  • Experience with Workday is preferred
  • Experience processing Canada payroll is a plus
