About the role

As the Senior People Operations Specialist, you will play a key role in fostering our company culture by ensuring a thoughtful employee experience. You will be critical in ensuring compliance, managing administrative HR tasks, planning engaging company retreats, onboarding new employees, and supporting various projects as needed. You will thrive in this role if you have a sharp attention to detail, learn quickly, and thrive in a fast-paced environment.

What you'll be doing

We know all of this won't happen over night, but once you're fully ramped up, this is what we foresee your position breakdown looking like.

Compliance & Administration - 40%

Compliance is a critical component of People Operations. We're a team of 65 fully remote employees, so keeping things organized with a keen attention to detail helps us move faster when days get hectic and allows us to focus on some of the "fun" things more easily. If you're the kind of person who keeps your entire personal life organized in Notion, loves red lining your friends' resumes, or finds yourself reading legal arguments for fun, you'll thrive in this segment of the work.

  • Maintain accuracy of PEO data, People Ops files, organization charts, and other data integrity initiatives.
  • Handle our annual Open Enrollment process, providing recommendations and cost analysis while ensuring the team understands their benefits choices
  • Oversee the administration of mandatory internal training programs
  • Manage employee perks program, identifying opportunities for improvement
  • Support reporting and analytics for all things people
  • Handle all expense reimbursements and enforce policies as needed
  • Support the team in developing and documenting standard operating procedures (SOP's) to streamline processes.
  • Proactively identify opportunities for automation to make yours and the teams' lives easier

Retreat Planning - 30%

Every year, we have two full-company retreats. In years past, we have visited Mexico City, Zion National Park, Charleston, and several all-inclusive resorts. We're heading to Washington D.C. in October, and one of your first projects will be helping us plan the details

  • Pick the location for our retreats (Yep, you get to surprise all of us and people will try to get the secret out of you)
  • Ensure the nitty gritty details of every day are thought through and planned out to keep things from going amiss during the week; however, ....
    • We know that things sometimes go wrong, so you're cool and calm under pressure and always able to find an alternative path forward, oftentimes without anyone knowing things weren't exactly as you fixed them to be.
  • Manage against and report on a per employee budget for retreats, making thoughtful and strategic spend decisions
  • Plan our annual recognition program, The Scotties, at our Fall retreat.

Employee Lifecycle Management - 20%

We take onboarding really seriously - you'll see soon enough. You'll have ownership of this fun and critical stage of our employee lifecycle. Beyond that,

  • Take ownership of our employee onboarding experience, ensuring every new hire has a seamless experience with Going as soon as they accept their offer and is able to hit the ground running as quickly as possible
  • Manage our employee engagement calendar, facilitating, enabling, and planning regular team bonding and learning opportunities
  • Support our employee feedback processes, analyzing surveys, and sending our company reminders
  • Support employee off-boarding, as needed

Other - 10%

There's always work we can't predict, and some just don't fit neatly in a bucket. This is that "and all other work, as needed" section of your offer letter.

  • Some laptop inventory management - luckily, we don't have too much of this, but there's always a bit of help People Ops can provide to folks
  • A good bit of internal communications, helping us remind people to do things they're supposed to do - we're a busy team, and a little nagging is much appreciated here.

What you know

Required:

  • 1-3 years of experience in People Ops or a similar role, with a basic understanding of benefits and employment law
  • Excellent verbal and written communication skills with comfortability speaking in front of large groups and writing company wide communications
  • Impeccable attention to detail, hyper-organization, and excellent time management and multi-tasking skills
  • Passion for building and automating processes, comfortable in both the gray and perfectly outlined scenarios
  • Calm under pressure, quick on your feet, and unafraid to bring your perspective to the table
  • Analytical mindset with a love for data and spreadsheets
  • Professional maturity in handling confidential and sensitive information, with the ability to escalate or ask for help when needed
  • Humble, self-aware, trustworthy, creative, and fun—treasuring great colleagues and relationships, and committed to nurturing the team and company culture
  • Legal authorization to work in the United States and availability to work US hours

Preferred:

  • Experience at a start-up
  • You are bilingual in Spanish (We plan a lot of retreats in Spanish-speaking countries, so this helps a ton)
