The HR and Payroll Specialist will be the primary HR support for the Illinois distribution center employees and managers. Essential duties include Employee Relations, Safety, Temp Labor, Workers Compensation, Leaves of Absence / FMLA and policy administration. This role will also support companywide Recruiting and Engagement initiatives. This position works in conjunction with the Corporate HR staff in Illinois and California to ensure consistent business practices and service is being provided. If not already equipped with payroll experience, will learn this skillset to provide support with processing the biweekly US payroll, and provide the necessary records for processing the monthly international payrolls including the data input of employee status changes for employee profiles in UKG (HRIS system).

Seeking candidates within a 1 hour or less commute of Champaign, IL. We offer a hybrid schedule with 3 days per week in-office. Must be flexible with schedule to deliver and cover HR workload.

ESSENTIAL DUTIES AND RESPONSIBILTIES include but is not limited to the following:

  • Recruiting and Onboarding
  1. Partner with staffing agencies to secure DC Temp Labor.
  2. Recruit other open positions across the company as assigned by HR Manager.
  3. May attend job and campus career fairs with some travel being required.
  4. Help facilitate new hire onboarding in partnership with Corporate Trainer.
  5. Work with department managers and the Corporate Trainer to integrate effective new hire experiences.
  6. Make recommendations for SWAG, secure budget approval for ordering and coordinate mailings to new hires prior to start of employment.
  • Employee Engagement
  1. Provide onsite support for monthly corporate engagement activities.
  2. May be a speaker at monthly town halls where we recognize birthdays and work anniversaries and highlight employee events.
  3. Work a minimum of three weekend events annually and others as needed: RC Fest (June), Employee NASCAR event (July), Breakfast with Santa (December).
  • Leave Administration
  1. Process all Leaves of Absence / FMLA paperwork in accordance with the federal and state laws in which it applies; communicate FMLA policies or protocols with employees and managers as necessary.
  2. Work with managers on return-to-work opportunities for employees with restrictions.
  3. Communicate with employees and third parties (doctors, insurance carriers, etc.) on restrictions and any reasonable accommodations that may be available or the inability to accommodate.
  • Worker's Compensation and OSHA Compliance
  1. Oversee the administration of workers' compensation, OSHA and safety programs including preparing, posting, and reporting OSHA 300 Logs.
  2. Coordinate with the safety committee, managers, and Corporate Trainer in developing and offering effective safety procedures, workplace practices, and training to reduce and/or eliminate workplace injuries/illnesses.
  3. Coordinate the investigation of on-the-job accidents/injuries/illnesses with employees, managers/supervisors, and the safety committee.
  4. Process the necessary paperwork in relation to the on-the-job incidences including workers' compensation and OSHA forms.
  5. Communicate with the medical community, insurance carrier and employee during this process to provide the employee with the best possible care and reduce unnecessary lost work time.
  6. Coordinate with managers in developing a return-to-work plan for injured workers.
  7. Provide immediate communication to the HR Manager, VP of HR, and Director of Operations regarding any lost work time claims.
  8. Provide monthly status report listing near miss, report only and recordable claims.
  • Safety

    1. Support safety initiatives across the company serving as the HR representative on the DC and Office safety teams.
    2. Lead annual Fire and Tornado Drills and keep employee lists, binders, and posters in compliance.
    3. Conduct accident investigations to determine root cause or infractions that may warrant corrective action.
    4. Respond to Near Miss reports.
    5. Partner with Corporate Trainer to ensure safety training compliance is achieved.
  • Employee Relations / Company Polices / Employment Law
  1. Ensure effective and consistent HR practices across the organization.
  2. Act as a resource for management on employee relations matters and offer primary support to distribution center teams, including working in the DC HR office on a weekly basis.
  3. Consult with managers regarding the impact of employment status changes and legal matters (particularly about performance evaluations, sexual harassment, workplace injuries, disability, discrimination, disciplinary action, and termination).
  4. Consult with HR Manager or VP to ensure that employment decisions follow company policy and federal or state laws.
  5. Stay abreast of current trends in workplace federal and state employment laws.
  6. Prepare and file government reports such as state and federal EEO-1, Bureau of Labor Statics, etc.
  7. Conduct Exit and/or New Hire Surveys and perform quarterly analysis and reporting on the feedback received.
  8. Maintain company bulletin boards, including required postings.
  9. Help distribute or collect employee acknowledgements.
  • Payroll and Time Keeping Records
  1. Provide necessary support of timecard approvals for payroll.
  2. Learn to process the biweekly U.S. payroll (450+ employees across 32+ states).
  3. Provide records to third parties for processing monthly payrolls in Germany and the UK (40+ employees). Support China payroll as necessary (15+ employees)
  4. Learn to process off-cycle bonus and commission payrolls as necessary.
  5. Enter employee status changes in UKG.
  6. Issue Badge ID's according to building security standards and provide employees with necessary time clock training.
  7. Assist employees in understanding PTO accruals, holidays, bereavement, jury duty benefits and answer related questions.
  8. Maintain all personnel records and documentation - scanning into UKG.

To perform this job successfully, an individual must be able to perform each essential function satisfactorily. Satisfactory performance includes but is not limited to:

  1. Must ensure payroll, HR files, documentation, folders, binders, and databases are detailed, consistent, handled in a timely manner, kept up-to-date and most importantly, accurate.
  2. Ongoing compliance with company policy and federal and state regulations.
  3. Demonstrate a high level of discretion, confidentiality, and emotional intelligence.
  4. Treat the customer, our employees, as a top priority.
  5. Serve as a good teammate, providing any necessary support that is requested.
  6. Be flexible with work schedule including remote and onsite availability.

EDUCATION and/or EXPERIENCE

  • Bachelor's degree in business or related field or equivalent on the job experience.
  • Seeking 2+ years' experience in HR and payroll experience a plus.
  • Must have experience working in Excel, MS Word, and PowerPoint.
  • Must have experience with an HRIS system; UKG preferred but will consider other HRIS system experience such as ADP, Paylocity, Workday, Paycom, Paycor, etc.
  • Excellent communication and the ability to interact effectively with all levels of the organization; must present yourself in a professional and courteous manner, serving the needs of all internal and external customers effectively.
  • Able to work independently while ensuring your manager is kept informed of the status of HR related issues.
  • Good judgment in working with people, maintaining an appropriate balance of representing the company and its policies but also being an advocate for the employees and their well-being.
