The Admission Associate plays a vital role in supporting admission and enrollment management initiatives for Westridge School, grades 4-12. As an integral member of the Admission Team, the Admission Associate reports to the Director of Admission and will have a commitment to diversity, equity, and inclusion, and support a work environment of collaboration and teamwork. Maintaining our high standard of personal touch with all constituencies, the Admission Associate works closely with the Director to implement programs and procedures that support a mission-focused enrollment management program, including an exceptional and welcoming admission process from inquiry to enrollment that is effective, efficient, and organized in a fast-paced environment. Exhibiting excellent interpersonal and technical skills, the Associate acts as a supportive and reliable thought-partner and member of the admission team, helping to manage recruitment initiatives, events programming and logistics, and admission and enrollment data.
Specific Responsibilities:
- Serve as technical lead of the admission team, exhibiting a high degree of proficiency, speed, and accuracy with technology, particularly database management, CRMs, spreadsheets, and admission and enrollment portals.
- Assist with large-scale admission events, such as Open House and Student Activity Days, and lead smaller admission events, such as Afternoon Campus Tours.
- Assist in the monitoring and auditing of application materials, ensuring student file completion and readiness for committee work (September – February).
- Work with the Communications Department to review critical print and online admission collateral and recruitment gifts and giveaways.
- Coordinate and schedule online parent interviews, managing both applicant parent and administrator availability and feedback administration, collection, and uploading.
- Coordinate Student Activity Days, including materials preparation, distribution, and feedback administration, collection, and uploading.
- Manage and continuously update both the technical and programmatic components of the admission portal (applications and application steps for different divisions, for example), including the annual roll-over and publishing process.
- Facilitate online events/webinars, including electronic rsvp system, panelist participation, and guest engagement.
- Ensure database management and integrity across all systems – including survey administration, demographic tracking, and ongoing updates of all critical data and spreadsheets.
- Coordinate file reader assignments and follow-up.
- Host admission guests - both students and parents, as needed.
- Conduct parent interviews and read and rate applicant files as assigned.
- Serve on the admission committee.
- Communicate and manage up to the Director with updates and status reports on work in progress, etc.
- Assist the Director of Admission with outreach work as needed, including area schools and access organizations.
- Recruit, lead, and train Student Ambassadors and Ambassador Heads, and manage their support with key admission events, such as Open House and Afternoon Tours. Other duties as assigned. Requirements and Qualifications
- Bachelor's degree preferred.
- Ability to speak Mandarin and/or Spanish desired.
- Ability to learn about the Westridge program and communicate it effectively to prospective families.

- Exceptional facility and aptitude with technology, specifically database management, and Excel and other Microsoft Office Suite platforms.
- Capacity to organize, maintain, and analyze data.
- Excellent interpersonal, verbal, and written communication skills.
- Detail-oriented, with strong time-management and organizational skills.
- Capability to prioritize and balance competing demands and to improvise or change plans as the situation requires.
- Be customer service oriented.
- Be proactive, self-motivated, and show strong initiative.
- Ability and desire to work collaboratively as a team player and be able to take direction, while also effectively managing up as needed.
- Establish and maintain collegial relationships among all school constituents.
- Discretion in handling confidential information and maintaining confidentiality within the Admission Office.

This is a permanent, full-time, non-exempt position with an hourly salary between $28.85/hr and $33.65/hr. Flexibility is required to work different hours and weekends for special events when necessary. This position is eligible for Westridge's comprehensive benefits package that includes paid time off, medical, vision, dental, and generous 403b retirement options.
