About the team

Located in Mason, Ohio, this role is newly established within our People Office team, reporting to the Executive Assistant Manager. The team delivers administrative assistance to our Senior Leadership team.

You'll be part of the highly efficient, proactive, and cooperative Global support team.

What you will be doing

As an administrative assistant, you will assist between 6-10 Senior Leaders with meeting coordination and calendar management for both US and UK-based teams.

You'll be involved in domestic and international travel arrangements, expenses, creating purchase orders, raising support tickets, and handling some ad hoc tasks as requested by the management team. Additionally, you will contribute to the planning and execution of site events and the organization of large meetings, including room bookings. This role is highly visible, requiring close collaboration with stakeholders at all levels within the business and external clients. Therefore, outstanding communication skills and a strong emphasis on confidentiality are essential.

Key responsibilities:

  • Calendar management and scheduling, collaborating with internal and external stakeholders
  • Coordinating meetings, video conferences, and webinars
  • Creating purchase orders and categorizing items or invoices
  • Working closely with other EAs and administrative support teams to organize complex travel plans and itineraries
  • Composing memos and correspondence based on brief verbal instructions
  • Preparing documents and presentation materials using Word, Excel, and PowerPoint
  • Producing documents using Word, Excel, and PowerPoint
  • Maintaining and reviewing short and long-term to-do lists of action items; keeping the Director informed of all action items from meetings and ensuring their completion
  • Performing other relevant duties as required

What you bring:

  • A minimum of 2 years' experience in a comparable role
