Job Description:

We are pleased to offer a unique opportunity for a dedicated Sales Administrative Assistant to become a pivotal part of our Sales team at Ponte Vedra Inn & Club. This role demands a high level of organization, meticulous attention to detail, and the capability to manage multiple tasks simultaneously. As a Hotel Sales Administrative Assistant, you will play a crucial role in elevating our sales initiatives, ready to make a significant contribution and leave a lasting impact.

Job Duties and Responsibilities:

Provide comprehensive administrative support to our Sales department, ensuring seamless operations through managing calls, generating sales-related documentation, contracts, and correspondence with precision, ensuring timely and accurate delivery.
Act as a representative of our property, aiding in the organization of sales presentations, site visits, and familiarization tours for prospective clients.
Work collaboratively with the Sales team to develop engaging sales reports, proposals, and presentations that effectively attract our target clientele.
Efficiently manage our customer relationship management (CRM) system, maintaining up-to-date and accurate information to support our sales strategies.
Perform a variety of administrative tasks such as filing, data entry, and record keeping to ensure the smooth operation of our sales department.
Enhance teamwork and cooperation by maintaining effective communication with other hotel departments, contributing to the provision of extraordinary guest experiences.
Undertake other duties as requested by management, showcasing adaptability and commitment to the team's success.
Qualifications:A High School diploma or equivalent is required, with further education or certification in Hospitality or Sales considered an advantage.
Prior administrative experience within a hotel, resort, or sales setting is preferred.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with customer relationship management (CRM) software such as Amadeus a plus.
Exceptional written and verbal communication skills, with the ability to engage and inspire.
The ability to thrive in a fast-paced environment, prioritizing tasks and managing multiple responsibilities efficiently.
Strong problem-solving and decision-making skills, with a creative approach to addressing challenges.
A professional demeanor, complemented by a courteous attitude and a customer-focused approach.
Flexibility with work hours, including availability for occasional evenings, weekends, and holidays to meet business needs.
