Summary

This position serves as a program support assistant located within the Office of Patient Care Services (OPCS).



Duties

Major Duties:

  • Receives incoming correspondence, records, and report and routes them to the appropriate channels.
  • Resolves daily workplace issues independently and maintaining efficient workflow in order to meet the demands of the service.
  • Preforms the following duties: Types all reports to include charts, ensuring correct grammar, spelling, punctuation, and timely completions.
  • Provides general clerical mail correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information and filing.
  • Recorder for all team huddles, staff meetings, committee meetings, Shared Governance committees and management meetings.
  • Performs office automations duties using such software applications as electronic mail, calendar, spreadsheet, database access, and other comparable database software to organize data and information.
  • Schedules appointments, coordinates meetings and/or schedules conferences for the service Chief.
  • Assists in obtaining and monitoring the use of services, supplies, or equipment for the service.
  • Timekeeping
  • Monitors schedules daily for changes; posts changes daily
  • Unit scheduling processes by transcribing schedules in AcuStaf to GovTA.
  • Ensuring schedules in AcuStaf are validated.
  • Demonstrates proficiency and accuracy when inputting tours in GovTA.
  • Make necessary changes timely, daily, and accurately.
  • Tracks leave balances to ensure posting of requests do not result in negative balances.
  • Answers staff questions per policy/regulation
  • Resolves timecard issues in collaboration with content experts as needed (e.g., payroll)
  • Teaches and trains employees on the use of the employee GovTA menu.
  • Customer Service
  • Timely resolves issues as needed, reports to the appropriate personnel the appropriate follow up.
  • Utilizes the ICARE model in responding to concerns of patients/families/staff.
  • Consistently communicates and treats customers in a courteous, respectful manner.
  • Additional duties as assigned.
Work Schedule: Full-time Monday - Friday Variable Schedules based on the needs of the service

Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process. Adhoc.
