The Executive Assistant to the VP of Technology provides high-level administrative support to ensure the VP can focus on strategic priorities. Key Responsibilities

  • Calendar Management: Maintain and organize the VP’s schedule, coordinating meetings, appointments, and events to optimize time.
  • Communication: Handle correspondence, including emails and phone calls, ensuring timely and appropriate responses.
  • Meeting Preparation: Prepare agendas, presentations, and materials for meetings. Take minutes and track follow-up actions.
  • Travel Coordination: Arrange travel plans, itineraries, and accommodations for the VP and relevant team members.
  • Project Support: Assist with tracking and organizing technology initiatives, maintaining status reports, and liaising with internal and external stakeholders.
  • Confidentiality: Handle sensitive information with discretion and ensure data privacy.
  • Office Administration: Manage expenses, invoices, and general administrative tasks to support the VP's office.
  • Team Collaboration: Act as a bridge between the VP and technology teams, ensuring clear communication and alignment.

Qualifications

  • Experience: Proven experience as an Executive Assistant or similar role (X+ years preferred), ideally in a tech-focused environment.
  • Technical Proficiency: Familiarity with tools like [insert relevant tools, e.g., Microsoft Office, Google Workspace, project management software].
  • Communication Skills: Exceptional written and verbal communication skills.
  • Organizational Skills: Strong ability to multitask, prioritize, and manage time effectively.
  • Problem-Solving: Resourceful and proactive in finding solutions.
  • Education: Bachelor’s degree in Business Administration, Communication, or a related field preferred.

Preferred Qualifications

  • Familiarity with technology projects, terminology, or methodologies (e.g., Agile, Scrum).
  • Experience working in a fast-paced or start-up environment.
