A New York City-based social services organization is looking to fill an immediate need with the addition of a new Administrative Assistant to their team in Manhattan. In this role, the Administrative Assistant will be responsible for providing general assistance to the Chief Financial Officer & Chief Human Resources Officer.

Responsibilities:

The Administrative Assistant will:

  • Act as a liaison with other support staff to proactively coordinate onsite or offsite meetings, events, and travel arrangements among C-level Executives, Senior Management, etc.
  • Work with the Office Manager & EA to align Executives' travel and lodging accommodations
  • Prepare and submit travel and lodging reimbursement documentation on behalf of the CFO & CHRO
  • Assist with the logistics of employee and company- wide events and engagements
  • Maintain physical and digital filing systems
  • Log mailed checks reconciled by the Director of Health Information Systems & Fiscal department
  • Utilize project management tools to track tasks on collective projects
  • Continuously update shared cloud-based storage for a seamless flow of information and resources
  • Ensure operable office equipment, including copy machines, scanners, fax, computers, printers, and shredders, and as needed submit repair requests
  • Screen visitors, maintain sign-in logs, and ensure visitors comply with the organization's visitor protocols
  • Maintain a tidy reception area, stocked and organized kitchenette, conference room, storage closets & communal areas
  • Perform other duties, as needed

Qualifications:

  • 3+ years of Administrative experience
  • Associate's Degree
  • Working knowledge of office equipment (printers, scanners, fax machines, etc.) Work collaboratively across multi-disciplinary teams.
  • Microsoft Office proficient
  • Solid problem solving and time management skills
  • Exceptional phone etiquette
  • Great interpersonal skills
  • Excellent communication skills (written and verbal)
  • Strong attention to detail
  • Highly organized
