The Document Controller plays a critical role in managing and organizing our client's documents and records in accordance with established procedures and standards. This role ensures the accuracy, accessibility, and security of documents, facilitating efficient information retrieval and document control processes across departments.


This is a newly created position and our client is seeking someone who has an understanding of general document control and process procedures. This is a fantastic opportunity for someone who is ready to help build processes


Responsibilities:


Document Management:

  • classify, and maintain electronic and physical documents according to established guidelines.
  • proper version control and document numbering for all records.
  • document naming conventions and folder structures for easy retrieval.
  • and maintain document databases, repositories, and file systems.


Document Control Processes:

  • and implement document control procedures and workflows.
  • document control policies and standards across the organization.
  • document review, approval, and distribution processes.
  • document lifecycle and ensure timely archival or disposal of obsolete records


Quality Assurance:

  • regular audits to verify compliance with document control procedures.
  • areas for process improvement and recommend enhancements to streamline document management.
  • adherence to regulatory requirements and industry standards.


Communication and Collaboration:

  • with cross-functional teams to facilitate document-related tasks.
  • as a central point of contact for document-related inquiries and requests.
  • training and support to staff on document control procedures and tools.


Information Security:

  • confidentiality and integrity of sensitive documents and information.
  • security measures to safeguard against unauthorized access or disclosure.
  • in data protection and privacy initiatives as required.


Documentation and Reporting:

  • reports and metrics on document control activities and performance.
  • documentation for internal and external audits as needed.
  • in the preparation of documentation for project deliverables and regulatory submissions.


Requirements:

  • degree in business administration, information management, project management (PMP) or related field preferred.
  • experience in document control, records management, or related roles.
  • understanding of document management systems and software applications.
  • organizational and multitasking skills with meticulous attention to detail.
  • in using Microsoft Office Suite (Word, Excel, PowerPoint) and document management tools.
  • of relevant regulations and standards (e.g., ISO 9001, ISO 27001) is advantageous.
  • communication and interpersonal skills.
  • to work independently and collaboratively in a fast-paced environment.
  • in document management (e.g., Certified Document Controller) is a plus.
