Position Overview:
We are seeking a highly organized and personable Office Manager with experience in brokerage operations, Individual Retirement Accounts (IRAs), and estate processing. This role is ideal for a detail-oriented professional who thrives in a fast-paced, high-volume environment and possesses excellent interpersonal and leadership skills.
As the Office Manager, you will oversee the daily operations of our office, ensure smooth workflows, and provide critical support to our brokerage and estate teams. Your expertise will be essential in maintaining compliance, enhancing efficiency, and delivering exceptional service to clients and team members alike.
Key Responsibilities:
- Oversee and coordinate office operations, ensuring efficiency and compliance with company policies and industry regulations.
- Manage tasks related to brokerage accounts, including account setup, maintenance, and documentation.
- Process and oversee IRA contributions, distributions, and compliance, ensuring accuracy and adherence to regulatory requirements.
- Handle estate processing, including document preparation, account management, and communication with clients, attorneys, and other stakeholders.
- Supervise and support a team of office staff, providing training, guidance, and performance evaluations.
- Serve as a point of contact for clients, maintaining a professional and approachable demeanor.
- Manage high-volume workflows and prioritize tasks effectively to meet deadlines.
- Collaborate with leadership to improve processes and implement operational strategies.
- Maintain accurate records and files, ensuring data security and confidentiality.
- Foster a positive, team-oriented office culture that emphasizes professionalism and client satisfaction.
Qualifications:
- Proven experience in office management, preferably in a brokerage or financial services setting.
- Knowledge of brokerage operations, including account management and compliance.
- Strong understanding of IRAs, including contributions, distributions, and regulatory requirements.
- Experience with estate processing and related legal documentation.
- Exceptional organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Strong interpersonal and communication skills, with a customer-service-oriented mindset.
- Proficiency in office software (e.g., Microsoft Office Suite) and familiarity with financial platforms.
- Detail-oriented with a commitment to accuracy and excellence.
