Job Description: Front Desk Receptionist

Position Title: Front Desk Receptionist

Location: 

Reports To: Office Manager

Position Summary: The Front Desk Receptionist plays a critical role in delivering an exceptional patient experience. This individual will be responsible for managing the front desk operations, including greeting patients, handling phone calls, scheduling appointments, and ensuring a smooth and efficient workflow in the reception area.

Key Responsibilities:

  • Patient Interaction:
  • Greet patients and visitors warmly upon arrival.
  • Assist patients with the check-in process and verify their personal and insurance information.
  • Address patient inquiries and provide necessary information about services and procedures.
  • Appointment Management:
  • Schedule and confirm patient appointments using the office’s scheduling software.
  • Coordinate appointment changes or cancellations and manage the waiting list.
  • Ensure timely and accurate communication with patients regarding their appointments.
  • Phone and Communication:
  • Answer incoming calls promptly and courteously.
  • Direct calls to appropriate staff members and take accurate messages when necessary.
  • Handle patient emails and other forms of communication efficiently.
  • Administrative Duties:
  • Maintain a tidy and organized reception area.
  • Manage patient records and ensure their confidentiality.
  • Process patient payments and manage the financial transactions at the front desk.
  • Perform general clerical duties such as photocopying, faxing, and filing.
  • Coordination with Medical Staff:
  • Communicate patient arrivals and important information to the medical staff.
  • Assist in preparing patient files and documentation for upcoming appointments.
  • Coordinate with other departments to ensure seamless patient care and service delivery.

Qualifications:

  • High school diploma or equivalent; additional education or certification in healthcare administration is a plus.
  • Proven experience as a receptionist, preferably in a medical office.
  • Proficiency in using office management software and electronic health records (EHR).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Friendly and professional demeanor with a focus on customer service.
  • Ability to handle sensitive and confidential information with discretion.
  • Bilingual abilities are a plus.

Working Conditions:

  • Full-time position with regular office hours. Occasional evening or weekend work may be required.
  • Work performed in a medical office setting, requiring direct interaction with patients and medical staff.
