Job Summary:

We are seeking a detail-oriented Accounting and Administrative Assistant to support various financial and administrative functions across multiple entities. The ideal candidate will possess strong organizational skills, a solid understanding of accounting principles, and the ability to manage multiple tasks efficiently. This role involves processing financial transactions, maintaining accurate records, and ensuring timely communication within the team.


Key Responsibilities:

Mail and Payment Management:

  • Sort and distribute incoming mail.
  • Manage bill payments for various entities via online, checks, or phone.
  • Make deposits and record transactions accordingly.

Accounting and Bookkeeping:

  • Post transfers, checks, and online payments into QuickBooks (QB).
  • Create Accounts Receivable (A/R) and invoices for reimbursements and accounting/bookkeeping services.
  • Record investment statements from investment institutions.
  • Maintain oil and gas statements in QB and spreadsheets.

Payroll Administration:

  • Process biweekly payroll and review employee commissions as needed.
  • Handle payroll taxes and quarterly tax filings.

Financial Reporting and Reconciliation:

  • Review Final Account Statements as needed.
  • Track insurance coverage and update spreadsheets.
  • Monitor rent payments and maintain relevant records.
  • Reconcile credit card and bank accounts across various entities.

Document Management:

  • File various documents and maintain organized records.
  • Handle certified mailings, check mailings, and invoice mailings.

Tax Preparation:

  • Prepare accounts in QB for tax filings and manage property tax payment checks and refunds.

Additional Duties:

  • Track inventory of checks, deposits, and office supplies, placing orders as necessary.
  • Prepare expense reports and review balance sheets as required.
  • Post journal entries and manage various online accounts.
  • Assist with various audits, including insurance and expense account audits.
  • Respond to inquiries related to Accounts Payable (A/P), A/R, payroll, and account management.

Qualifications:

  • Associate's or Bachelor’s degree in Accounting, Finance, or a related field preferred; relevant experience will also be considered.
  • Proficiency in QuickBooks and Microsoft Excel.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
  • Previous experience in accounting, bookkeeping, or administrative support is a plus.
