We have a need for a Receptionist for one of our clients in the Foster City, CA area. This is an onsite position that will require working in their location, greeting customers, etc.


Must have

At least 3 years of receptionist experience

Able to be onsite on required days - could be 4 - 5 per week

Excellent communication skills

Detail oriented

Ability to perform duties as noted and as assigned


Professional Receptionist

Our Clients Corporate Headquarters seeking a Professional Receptionist/Administrator Clerk to join the team in the Foster City office. Duties for this job includes greeting visitors and staff, answering phones, front desk business functions, Mail, scheduling, supply and keeping conference and break rooms presentable.


The ideal candidate will deliver a professional and qualified first impression to all clients. This person has excellent communication and customer service skills. He/she has a basic understanding of administrative and clerical procedures/systems and the ability to multitask.


This position is an IN-OFFICE position that requires onsite weekly (Monday through Thursday, 8:00- 5:00 p.m.), with an hour lunch, breaks, etc. With a holiday schedule to accommodate needed changes


Requirements:

  • 18 Years or Older
  • Excellent customer service skills
  • Average with Microsoft Office Suite
  • Ability to learn basic new systems
  • Reliable, professional, courteous and patient
  • Good communication and writing skills
  • Very Confidential
  • Ability to keep busy during down times

Reception Duties

  • Greet guests
  • Answer phones
  • Manage and keep clean front desk area
  • Mail
  • Collect and sort through mail, toss magazines
  • Scan bills to internal AP email, then dispose properly
  • Scan mail to appropriate person if not on site
  • Any state or tax mail goes to specific staff member, scan to her then keep original at front desk for this person to retrieve at a later time
  • FDA correspondence gets scanned to addressee, then fill out an Archive Transmittal Form, send to quality for signature, file original document in proper cabinet.
  • Order and coordinate breakfast, lunch as needed for meetings
  • Monitor kitchen supplies, janitor, cleaning, drinks, etc. Empty dishwasher, load dishwasher before you leave. Work with Associated Services if any issues with snacks/drinks/coffee
  • Create Fed Ex airbills and drop at Fed Ex
  • Scan any notarized documents to appropriate person
  • Keep conference rooms clean and presentable.
  • Assist with conference room reservations and troubleshoot.
  • Provide administrative support to all team members as necessary.
  • Schedule meetings as requested
  • Answer guest and employee questions
  • Wipe down glass boards in conference rooms
  • Stock conference rooms with pens, post it notes, Kleenex, etc.
  • Be part of emergency response team
  • Other duties as assigned / Required

Compensation

  • The estimated pay range for this position is $22.00/Hr. - $26.00/Hr. and is NOT an Exempt role.
  • Exact compensation and offers of employment are dependent on the circumstances of each case and will be determined based on job-related knowledge, skills, experience, licenses or certifications, and location.
