Position Purpose
The Finance Associate performs various bookkeeping and accounting duties, including financial record keeping, data entry, and reporting in QuickBooks (QBO). They work closely with Friends of Refugees’ contract accounting firm, which generates monthly financials from QBO data and provides necessary financial data for Friends of Refugees’ annual audit. The Finance Associate supports the Partner Engagement team with donor reports, integrating data from payment processors and other deposits with QBO and Bloomerang (CRM). Works closely with the Operations Manager to provide financial support to programs as needed.
Essential Job Functions:
Accounts Receivable–50%
- Records payments to Friends of Refugees in a timely and accurate manner from multiple donation sources, including gift-in-kind donations.
- Maintains a highly organized system of records of receipts, deposits, payments, invoices, payroll paperwork, reimbursements, and other financial records.
- Runs bank deposits for cash and check donations.
- Ensures that all revenues and expenditures are appropriately categorized.
- Manages online giving platforms.
- Transfers funds within Friends of Refugees bank accounts as needed for operating expenses.
- Works closely with the leadership team to ensure accounting accuracy on restricted funding and application of restricted funds to appropriate expenses.
- Perform other duties as assigned.
Accounts Payable–30%
- Processes vendor and contractor invoices, payments, and records, including W-9s.
- Responsible for all financial record keeping of Friends of Refugees via QBO, including appropriate supporting documentation of transactions.
- Issues checks for external payments and employee reimbursements accurately and timely.
- Oversees the monthly credit card expenses management system (Concur)
- Provides QBO reports as requested.
- Perform other duties as assigned.
Customer Service & Reporting –20%
- Professionally Interacts with external partners who contact Friends with questions about donations, gifts, tax-deductible receipts, etc. (including starting, stopping and changing donations)
- Submits monthly financial reports (P&L and Budget vs Actual reports) to the Operations Manager.
- Prepares year-end donation statements and tax receipts for donors.
- Assists in developing Friends of Refugees’ CRM systems, Kindful donation platform, and QBO as needed.
- Ensure the Partner Engagement team has financial information for grant and donor reporting.
- Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
- Perform other duties as assigned.

Experience and Qualifications

- A minimum of 1 year of bookkeeping experience is required
- Knowledge of working with grants, foundations, and non-profit funding preferred
- Previous experience with QuickBooks (QBO) required
