Summary:

The Charter Management Assistant's overall goal is to assist the US Charter Managers with their designated charter vessels calendars and databases and assist in the growth of IYC’s respected fleet of luxury, private yachts available for charter worldwide. The Charter Management Assistant is required to maintain strong interpersonal relationships and communication with their team of Charter Managers in the US Office, adhering to Company procedures and Charter Management practices.


Responsibilities:

  • Assist US Charter Managers with a number of assigned charter yachts in the IYC fleet, simultaneously.
  • Collect and organize relevant ownership documents for new CAs.
  • Create and maintain Yachtfolio listings and databases and update vessel charter calendars.
  • Create and maintain up-to-date and accurate crew profiles and brochures for the vessel.
  • Create/edit contract details on a regular basis.
  • Enter and review contracts in BLUE.
  • Create and edit broadcast announcements in Hubspot.
  • Update and maintain CRM.
  • Organize and maintain department folders and files.
  • Attend and assist (setup/breakdown, etc.) at relevant sales and charter shows, open houses, broker’s lunches and boat shows.
  • Edit / proof all marketing material.
  • Keep a calendar of Charter Manager’s events and appointments as well as important Industry events.
  • Assist with coordination of advertising and marketing opportunities throughout the year. Work with the Marketing Department to resize photos, create flyers and email blasts to promote the vessels regularly.
  • Create Charter CA Presentations and assemble “pitch package”.
  • Attend pitches and yacht visits with Charter Managers as needed, as support to take notes and assist with follow up.
  • Assist Captains with the set up and management of PA accounts.
  • Send Owner’s Summary and notice of disbursement of funds to owner / owner’s representative.
  • Assist CM with general communication to brokers, owners and captains.
  • Attend and keep minutes in Charter Management Team Monthly call.
  • Other duties as assigned


Requirements and Skills:

  • Industry experience is a plus; willing to train
  • Minimum 2 years of Administrative experience
  • Strong computer skills, including Word, Excel/Google Docs, Google Sheets, Outlook, Google-drive
  • Strong photo editing skills
  • Experience with CRM platforms preferred
  • Well-versed in Social Media
  • Strong written and verbal communication skills
  • Strong multi-tasking skills
  • Driven, proactive, self-motivated
  • Flexible schedule
  • Strong attention to detail
  • Excellent follow-up skills
