Broker Support Specialist

SUMMARY

The Broker Support Specialist (“BSS”) reports to the Director of Integrated Marketing and Operations and serves as the support for a fee-earner (“Broker”) and/or team. This position is responsible for support of client service activities such as pitches and proposals, transaction support, database administration, some marketing activities and heavy administrative support. The BSS interacts with others in the organization on behalf of the Broker to meet clients’ needs. In this capacity, the BSS is viewed as a direct line of communication to the Broker themselves.


ESSENTIAL DUTIES

  • Maintain accurate listing and client / customer information in CRM and listing databases
  • Coordinate with others based on the needs of the broker
  • Support timeliness of deliverables
  • Provide sales and deal support from inception to deal completion
  • Responsible for greeting clients and answering calls, as needed
  • Responsible for coordinating team calendars, meetings, tour schedules and travel
  • Facilitate critical deal-making activities and materials, including proposals and marketing materials

 

KEY RESPONSIBILITIES

  • Administrative Support to Partner/Senior brokerage professional and his team
  • Schedule meetings with prospects and arrange any other accommodations that may be required, such as catering, transportation, and space reservations
  • Execute property tour logistics for showings, scheduling meeting with prospects, and arranging any other accommodations that may be required (e.g., delivering food, reserving space)
  • Coordinate with broker’s team members on day-to-day agenda and business/property needs
  • Coordinate with internal marketing team to ensure production of brochures and other marketing materials as needed
  • Maintain calendar of due dates and follow up as necessary
  • Conduct Other Administrative Duties as necessary


Proposal and Marketing Coordination

  • Schedule meetings with prospects and arrange any other accommodations that may be required, such as catering, transportation, and space reservations
  • Coordinate the production of brochures and other marketing materials
  • Perform basic data gathering, such as property searches and site selections, on behalf of broker as appropriate
  • Populate template marketing documents, such as tour books, property flyers, and brochures


Other Service Delivery

  • Compile information to be used in periodic client activity reports
  • Handle client contact lists, including database management
  • Develop and mail general flyers or collateral on behalf of broker
  • Audit activity of third-party vendors and report to team for correction and advise brokers


Maintain CRM

  • Update CRM system on behalf of broker, including client contact lists
  • Coordinate with broker on the timely delivery of necessary information for CRM maintenance
  • Provide deal information as needed for the proper recording of pursuit and deal related expenses
  • Review CRM with broker to ensure the accuracy of the information


Deal Documentation

  • Follow up with all parties on the execution of deal related documents as required
  • Process deal related documents and provide to broker for review, approval, and delivery
  • Coordinate with Operations for review and approval when template documents are insufficient, or conflicts exist
  • Package Deal Sheet with deal documentation and submit to Controller for processing
  • Close Deal in CRM as required


Respond to Data Requests

  • Communicate requests for the delivery of necessary information
  • Maintain calendar of due dates and follow up as necessary
  • Respond to requests under certain threshold, such as basic property or ownership searches
  • Coordinate with broker for the timely collection of necessary information



KEY RESPONSIBILITIES

  • The BSS reports to the Director of Integrated Marketing and Operations


METRICS

Role will be evaluated on the following:

  • Accuracy of produced documents
  • Timeliness of produced documents


BACKGROUND AND EXPERIENCE

Demonstrated experience should include:

  •  Bachelor’s Degree
  • 3+ years of experience in a professional environment
  • Or similar combination of education and experience
  • Detail oriented, self-starter, well organized, able to handle multiple projects at any given time, and comfortable working in a fast-paced environment independently
  • Demonstrated strong interpersonal skills
  • Demonstrated aptitude to solve problems and navigate through obstacles
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office Suite
  • Familiarity with Adobe Creative Suite
