This role requires a reliable and meticulous Executive Personal Assistant to manage busy schedules, handle finances, and provide support in professional and personal life. The role will primarily be located in Dallas, TX, with occasional travel to Washington state.

About You:

You are an exceptionally organized individual with a keen eye for detail and a knack for keeping schedules on track. You thrive in a role where adaptability and proactivity are key – you’re a self-starter. You understand the importance of confidentiality and know how to handle sensitive information. You have a “do what it takes to get it done” attitude.

Responsibilities:

  • Manage multiple schedules with precision, paying close attention to time zones and ensuring accuracy.
  • Be proactive in anticipating needs and thinking ahead to prepare for meetings and tasks.
  • Act as a gatekeeper, prioritize tasks, and manage commitments effectively.
  • Utilize Quickbooks to manage expenses and handle expense reports efficiently.
  • Maintain calendar dates for financial filings, ensuring credit cards and other bills/invoices are paid on time, and managing finances (excluding tracking investments).
  • Assist with personal matters while keeping work and personal information separate and well organized.
  • Handle business and personal phone calls, emails, and other messages professionally.
  • Manage confidential information.
  • Support various personal business needs upon request.

Qualifications:

  • 3 or more years of experience supporting a C-Suite level executive(s).
  • 1 - 2 years of experience with QuickBooks.
  • Familiar with Mac or willingness to learn.
  • Competent in Word and Excel
  • Prior experience handling financial tasks such as expense management and paying bills/invoices.
  • Strong numerical aptitude and proficiency in managing schedules.
  • Exceptional organizational skills with a meticulous attention to detail.
  • Must be able to adapt to interpersonal style and preferences.
  • Professionalism in all communications and interactions.
  • Willingness to occasionally relocate or work remotely during specific periods, with flexibility for travel and occasional weekend work.
  • Willingness to sign and adhere to a non-disclosure agreement (NDA).
  • Conversant in Spanish is a plus but not a requirement.
