Big Sky Bravery is a non-profit organization founded in 2015 that is dedicated to serving active-duty Special Operations Forces through our Task Forces. Task Forces (weeklong programs) take place in Montana’s restorative surroundings. They are an all-expense paid, world-class experience that grants these individuals the rare opportunity to decompress, rediscover what was lost on the battlefield, and experience the hope and freedom they’re all fighting for.


Overview

Big Sky Bravery seeks an individual with strong organizational skills, attention to detail, and excellent communication abilities with a thoughtful, team-first attitude to fill the role of Program Manager. This individual will be in charge of coordinating all aspects of travel arrangements for programs, including lodging, flights, meals, and activities. This would involve researching and booking accommodations, negotiating rates with vendors, developing relationships for in-kind program donations, managing program budgets, and ensuring all logistical details are taken care of. Additionally, they would need to be able to handle any unexpected issues that may arise during travel and our weeklong programs. This Program Manager must also develop relationships with all BSB volunteers and communicate well with Task Force Directors (TFDs). The desired person for this position is highly adaptable, can independently problem solve, takes ownership of mistakes, pitches in wherever needed, and upholds the core values of Big Sky Bravery found here. Additionally, this person must uphold the organization's high standards of conduct, which include confidentiality, trust, and respect for our nation's military. This is a full-time position based at our office in Bozeman, MT.  


Key Responsibilities:

  • Develop Task Forces (male SOF, female SOF, spouses) in conjunction with the Chief Program Officer to build and expand Big Sky Bravery’s programming
  • Support Task Force programs with any needs, logistics, and internal operations
  • Assist in the creation and finalization of the annual Program Calendar - Collaborate with the Chief Program Officer and Volunteer Manager to secure program dates, lodging, and volunteer placements
  • Collaborate to create, monitor, assess, and update policies and practices in all aspects of BSB Task Forces
  • Build a subcontracting list of known and trusted community partners for Big Sky Bravery to work with when structuring Task Forces (TFs)
  • Assist Chief Program Officer with annual Program budget to build and ensure accurate financials are kept throughout the year to assist in validation and justification 


Pre-TF Administration

  • Build and distribute TF welcome packets that will enable those who are unfamiliar with the program to become informed and know what to expect
  • Field any and all questions from TF recipients pertaining to their program and make a firm handoff to the TFD for future communication
  • Build TF notebook for Task Force Directors, ensuring they have all of the information needed to run their Task Force successfully
  • Schedule and facilitate pre-TF meetings with program staff and TF volunteers
  • Secure lodging, flights, and activities for TF programming based on approved budget  
  • Communicate flight itineraries with recipients and team members
  • Pack welcome bags and ensure contents are in accordance with BSB standards and requirements
  • Pre-program Inventory Management: ensure inventory of all items needed for Task Forces to run successfully 
  • Document Retention: Collect all signed waivers and confidentiality agreements and file accordingly


Post-TF Administration:

  • Inspect, clean, and repair all gear and equipment prior to/post programs
  • Manage and maintain program gear: replacing gear as needed and ensuring that all TFs have the gear necessary for scheduled activities 
  • Maintain bay organization and inventory
  • Keep accurate account of monies spent, in-kind donations, and cost per program along with personnel to validate spending and hours annually
  • Schedule and facilitate post-TF meetings with TFD to discuss sustains and changes moving forward 

 

Required Skills +  Qualifications

  • 4+ years of proven work experience assisting with programs or projects in a professional environment (Outdoor program experience is a plus)
  • 4+ years of customer service experience and prior experience coordinating volunteers or small teams  
  • Highly motivated self-starter with excellent verbal and written communication and problem-solving skills
  • Work effectively with BSB staff, volunteers, and program recipients
  • Ability to work successfully with a broad range of personality types
  • Knowledge of general business software and aptitude to learn new applications; proficiency in Google Workspace and Microsoft Office 
  • Must be safety-oriented and able to predict and prevent safety issues quickly; when safety issues arise, respond immediately
  • Must have a valid driver’s license and ability to pass a criminal background check
  • Comfortable working in varying outdoor settings, locations, weather, temperatures and conditions
  • Proven ability to successfully organize and manage a multitude of projects with attention to detail
  • Assists with special projects, programs, and/or events in various capacities, as needed
  • Works collaboratively with internal and external resources to establish relationships that build and maintain trust and further compliance with program requirements; cultivates business relationships to increase the education, communication, and understanding of the program and increase voluntary participation
  • Be a positive presence in the community among individuals and corporations through participation in both internal and external events


Compensation:

$65,000 (dependent on experience) with the opportunity for bonuses. Benefits package included.
