Clinic Manager

The Clinic Manager for California Retina Consultants oversees the daily operations and administration of the clinic, ensuring the delivery of high-quality patient care and efficient functioning of the practice. They are responsible for managing staff, coordinating schedules, overseeing patient flow, implementing policies and procedures, and maintaining regulatory compliance. The Clinic Manager works closely with the physicians, staff, and patients to ensure a positive and professional clinic environment. This position plays a critical role in the success of the retina practice by ensuring efficient clinic operations, high-quality patient care, and compliance with regulatory standards. They must demonstrate strong leadership, communication, and organizational skills to effectively manage staff and resources while maintaining a focus on patient satisfaction and clinical excellence.


Key Responsibilities:

1. Staff Management:

  • Recruit, hire, train, and supervise clinical and administrative staff.
  • Conduct regular performance evaluations and provide feedback and coaching to staff members.
  • Develop and implement staff schedules to ensure adequate coverage and efficient workflow.
  • Provide mentorship and support to encourage professional growth and development within the team.
  • Lead by example, demonstrating integrity, resilience, and commitment to operational excellence.


2. Patient Care:

  • Oversee patient scheduling, registration, and intake processes.
  • Ensure that patients receive timely and appropriate care.
  • Address patient concerns and complaints in a professional and timely manner.
  • Monitor patient satisfaction and implement improvements as needed.


3. Operational Management:

  • Oversee clinic operations to optimize productivity.
  • Develop and enforce clinic policies and procedures to meet regulatory standards and operational excellence.
  • Manage inventory of medical and office supplies and equipment maintenance
  • Ensure facility cleanliness and staff adherence with hygiene and safety protocols.
  • Handle medical waste disposal in accordance with regulations.
  • Coordinate with vendors and suppliers for timely delivery of goods and services.
  • Serve as primary user of electronic practice management and electronic health records and other practice systems.
  • Provide support as needed in technical or front-office roles.
  • Perform other duties as assigned.


4. Financial Management:

  • Work closely with Chief Operations Office to monitor clinic revenue and expenses and identify opportunities for improvement.
  • Oversee billing and coding processes to ensure accurate and timely submission of claims. Ensure technicians code correctly and patient charts are completed and accurate.
  • Work with billing staff and insurance companies to resolve billing issues and denials.
  • Develop and implement strategies to increase revenue and control costs.


5. Quality Assurance:

  • Implement quality assurance programs to monitor and improve patient care outcomes.
  • Conduct regular audits of clinical processes and documentation to ensure compliance with quality standards.
  • Collaborate with physicians and staff to identify areas for improvement and implement corrective actions.


6. Compliance and Regulatory Affairs:

  • Ensure compliance with state and federal regulations, including HIPAA, OSHA, and Medicare/Medicaid guidelines.
  • Keep abreast of changes in healthcare regulations and implement necessary updates to policies and procedures.
  • Prepare for and participate in regulatory inspections and audits.


7. Collaboration and Communication:

  • Foster a cohesive team environment by promoting collaboration and communication among clinic staff.
  • Serve as a liaison between physicians, staff, patients, and other healthcare professionals.
  • Communicate effectively with stakeholders regarding clinic policies, procedures, and initiatives.


About the Candidate:

  • Bachelor's degree in healthcare administration, business administration, or a related field preferred.
  • Previous experience in healthcare management, preferably in a retina practice or ophthalmology setting required.
  • Familiarity with IntelleChartPRO Electronic Medical Records (EMR) system and NextGen Practice Management software is a plus.
  • Strong leadership and interpersonal skills, with the ability to motivate and inspire staff.
  • Excellent organizational and problem-solving abilities.
  • Knowledge of healthcare regulations and compliance requirements.
  • Proficiency in medical billing, coding, and electronic medical records systems.
  • Ability to work effectively in a fast-paced and dynamic environment.
