Position Summary:
Join a team that is an innovator in today’s healthcare industry in the Galleria area Our client is a Fortune 500 Healthcare firm looking for an Executive Assistant to provide administrative support for several service line vice presidents and/or Senior Leadership Team executives as assigned.
This position is in the corporation’s Gulf Coast Regional office with high visibility. State-of-the-art equipment and office furnishings. You will not sit in one place for long as you will be busy coordinating meetings and supporting work for the executive team.

As the Executive Assistant, you will:
• Schedule and organize complex activities such as meetings with and without meal service, onsite and offsite one‐ and multi‐day events, and department activities
• Establish or maintain electronic document repositories such as SharePoint or OneDrive as requested by each executive
• Act as the first point of contact for the executive when fielding questions, calls, and requests
• Act as meeting and event coordinator for small‐ to large scale events, managing all details from site selection to onsite execution of event
•Act as a professional liaison with other departments, facilities, and outside agencies, including high‐level staff such as CEOs, division and group executives, senior leadership, etc.
• Coordinate panel interviews for candidates including scheduling, creating an agenda, and escorting the candidate through the day
• Manage new hire onboarding for new hires including coordinating IT equipment, seating assignments, new hire forms and first‐day agenda
• Serve as member of Emergency Operations Planning Committee in support of Division Emergency Operations and Division Social Committee
• Retrieve, sort, and distribute mail for the executives and respond as needed
• Process mileage and expense reports for executives in a timely manner
• Contribute to the success of the Administrative Support team by following processes and helping when needed
• Other duties as assigned by the vice presidents or Division Office Manager
Education:
• Associates degree or 60 credit hours required
Experience:
• Previous experience supporting multiple managers or directors or executive leadership at once
Skills/Knowledge:
• High level of interpersonal skills to handle sensitive and confidential situations
• Attention to detail in composing, typing and proofing materials
• Ability to establish priorities, multi‐task and meet deadlines
•Strong working knowledge of a variety of computer software applications in the Microsoft Office Suite
•Excellent interpersonal skills and ability to work in a cooperative manner with all levels of the team
•Must have business etiquette for in‐person, telephone, and virtual communication
