Operations/Customer Care Coordinator for Travel Company

Olivia Travel, headquartered in San Francisco, is the largest travel company, specializing in cruise, resort, riverboat and adventure vacations for lesbians and LGBTQ+ women worldwide. Olivia has taken over 350,000 women on over 350 vacations around the world. Olivia is currently seeking a full-time Operations Coordinator to join our office team.


The ideal candidate will have a variety of organizational, reporting, multi-tasking and interpersonal skills, including excellent customer service. This position will also travel and work on Olivia vacations as assigned. We operate on a hybrid schedule with 2 in-office days and 3 days remote from home. Responsibilities include but are not limited to:

  • Produce, analyze and format Excel and Word reports following templates and direction.
  • Load and manage trip inventory in company database.
  • Coordinate document mailing fulfillment and e-mail blast communications to customers.
  • Edit and proofread guest communications and travel documents as assigned.
  • Act as liaison between Tour/Cruise company contact to submit timely and accurate manifests, manage and track changes and additions, and collection specific information needed for the trip execution.
  • Work closely with Travel and Guest Services departments to ensure projects are successfully executed.
  • Support the customer care and billing teams on phones and e-mails as needed.
  • Execute multiple projects quickly under tight deadlines.
  • Assist in other operations projects as needed.
  • Travel on select trips to provide customer service support.


Qualifications:

  • College degree from an accredited college or university.
  • Must have 3+ years' intermediate/advanced skill level of Microsoft Outlook, Word and Excel.
  • Exceptional eye for detail ensuring reports and documents contain accurate, relevant data.
  • Excellent writing, editing, and proofreading skills.
  • Analytical, efficient, organized, and detail oriented.
  • Able to work both independently and in a team environment.
  • Strong desire to learn new skills.
  • Proactive approach to professional responsibilities.
  • Professional demeanor, good time management skills, and a strong work ethic.
  • Ability to work gracefully under pressure and juggle multiple projects and competing priorities under tight deadlines.
  • Experience with high level of customer service.
  • Knowledge of and/or experience within the travel industry and/or in the LGBT community is a plus.

In compliance with the California Salary Transparency Law, the salary range for this role is $60,000 annually.
